The Administrative Coordinator provides direct support to the Senior Director of Administration and serves as a key administrative resource supporting human resources, recruitment, employee engagement, communications, and special projects. Essential Responsibilities

Administrative Support

  • · Provide direct administrative support to Senior Director of Administration and United Division team.
  • · Coordinate meetings, calendars, agendas, and follow-up action items.
  • · Assist with board, committee, and leadership meeting preparation.
  • · Maintain administrative records, reports, and departmental documentation.
  • · Coordinate office projects and special initiatives.
  • · Maintain office supplies
  • · Front desk visibility for vendors and visitors

Human Resources Support

  • · Assist with clinical and corporate employee onboarding and orientation activities as needed.
  • · Prepare employment-related documents and personnel file updates in Paycom.
  • · Monitor and coordinate employee status change documentation and workflow tracking.
  • · Support employee communications.
  • · Maintain records and ensure document retention compliance.
  • · Assist with employee engagement initiatives and recognition programs.

Recruitment & Workforce Support

  • · Assist with candidate outreach and recruitment event coordination.
  • · Maintain applicant tracking and recruitment databases.
  • · Help talent management team coordinate interview scheduling and candidate communications as needed.
  • · Assist with job posting management in Paycom, Gasworks, LinkedIn, and other recruitment platforms.
  • · Support workforce reporting and staffing metrics.

Communications & Marketing Support

  • · Assist with development of internal communications.
  • · Support employee announcements and engagement campaigns.
  • · Assist with event planning for recruitment, networking, and employee appreciation events.
  • · Maintain recruitment and marketing materials.
  • · Coordinate website and social media content updates as assigned.

Project & Operational Support

  • · Support implementation of organizational initiatives and process improvement projects.
  • · Assist with workflow documentation and policy administration.
  • · Maintain tracking logs, dashboards, and project status reports.
  • · Provide administrative support related to future organizational integration and growth initiatives.
Qualifications

Required

  • · Associate's degree or equivalent combination of education and experience.
  • · Minimum 3 years of administrative support experience.
  • · Strong organizational and project coordination skills.
  • · Excellent written and verbal communication skills.
  • · Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • · Ability to manage multiple priorities in a fast-paced environment.
  • · Demonstrated professionalism and discretion when handling confidential information.

Preferred

  • · Bachelor's degree.
  • · Experience supporting healthcare operations, physician practices, or healthcare organizations.
  • · Experience with Paycom or comparable HRIS systems.
  • · Experience coordinating recruitment, onboarding, or HR-related activities.
  • · Experience with Canva, SharePoint, or project management platforms.
  • · Interest in pursuing a career path in Human Resources, Healthcare Administration, or Operations.
