The Opportunity:

UCF's Kenneth G. Dixon Career Development Center (DCDC) is seeking an Administrative Coordinator II to support the Strategic Operations and Engagement unit. At the DCDC, every operational decision matters — because behind every smooth process is a student whose career journey depends on it. This opportunity is a great fit for a motivated, service-minded professional eager to join a team dedicated to connecting students with the tools, resources, and experiences they need to thrive professionally. This is a role for someone who finds purpose in building environments where students and staff alike can do their best work. You'll be part of a collaborative, student-centered team where operational excellence and meaningful impact go hand in hand.

Responsibilities:

  • Supervise student employees supporting front desk and call center operations, including recruitment, hiring, onboarding, training, scheduling, coaching, performance evaluation, and daily work assignments. Develop staffing schedules to ensure appropriate service coverage and create meaningful opportunities for student employees to build professional and workplace skills.
  • Oversee daily front desk and call center service operations, establishing expectations for professional, responsive, and student-centered service. Maintain current scripts, FAQs, referral resources, escalation procedures, and information about DCDC programs, services, events, and university resources. Address routine service concerns and coordinate follow-up or escalation as needed.
  • Coordinate DCDC space reservations and scheduling for conference rooms, interview rooms, multipurpose spaces, and other shared facilities. Serve as a primary contact for reservation requests, maintain calendars and utilization records, coordinate room readiness and technology needs, resolve scheduling conflicts, and communicate reservation procedures to internal and external users.
  • Coordinate day-to-day facility and building support needs, including submitting and monitoring work orders, maintenance and repair requests, furniture and equipment needs, office moves, and other operational issues. Work with university partners such as Facilities, IT, Security, and Surplus Property to support effective building operations.
  • Support asset, inventory, and space management activities, including furniture moves, surplus property, equipment and asset tracking, room inventories, and routine review of shared and stakeholder-facing spaces. Coordinate with the designated Building Liaison on building-wide needs, accessibility accommodations, outages, emergency communications, and related activities.
  • Develop and maintain operational procedures and resources, including standard operating procedures, training materials, service guides, schedules, workflow documentation, reservation procedures, and other documentation that supports consistent operations and continuity of service.
  • Track and evaluate operational activity, including service inquiries, call and front desk volume, space utilization, staffing patterns, stakeholder feedback, and recurring operational issues. Identify trends and recommend process, technology, or workflow improvements that strengthen service delivery and operational efficiency.
  • Provide administrative and operational support for the center, including purchasing, travel, scheduling, meeting logistics, budget coordination, employment documentation, and other administrative functions.
  • Support cross-functional projects and strategic initiatives led by the Strategic Operations & Engagement team.
  • Contribute to continuous improvement and organizational effectiveness by implementing approved process improvements, supporting assessment and reporting activities, exploring new technologies and tools, and identifying opportunities to strengthen administrative processes and workflows.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:

  • Background in supervising, scheduling, training, or coordinating student employees, part-time staff, or other front-line team members, including supporting their coaching and professional development.
  • Familiarity with higher education or a similarly complex, service-oriented organization, with a background in customer service delivery.
  • Experience developing or maintaining operational documentation such as standard operating procedures (SOPs), training materials, service guides, or scheduling systems.
  • Ability to manage multiple priorities while exercising sound judgment and maintaining follow-through with minimal supervision.
  • Proficiency in computer applications and digital tools relevant to administrative operations, with effective written and verbal communication skills.
