Administrative Associate

The ideal IDEXX Administrative Assistant for IDEXX's Elmhurst, IL veterinary diagnostic reference laboratory is a positive, motivated, self-starter that seeks to find success through helping others and digging in to get the task done.

In This Role:    

• You will be assisting the lab with a variety of tasks.  

• You will use your stellar organization skills to support a fast paced, ever growing business with valuable task and time management.   

• You may be greeting guests and technicians, because you are the first person everyone sees if they are entering through the front door and a smile goes a long way.  

• Your main responsibilities include: ordering lab supplies, assisting with inventory, and restocking.  

• You will also be managing our vendors and other third parties by coordinating services, certifications, and inspections. These responsibilities could include: purchasing supplies, assisting with send outs, scheduling and attending meetings, assisting with QA, tracking all receipts for purchasing cards, mail sorting, assisting with deliveries, and other duties as needed.  

What You Will Need to Succeed:  

• You possess knowledge of Ordering Systems-SAP (preferred) 

• You have experience working with vendors and service representatives (preferred) 

• You have experience in a medical field is a plus, but not required.  

• You will have a fine attention to detail and take pride in checking items off your list 

• You possess a strong computer skillset (e.g. Outlook, Excel, PowerPoint, MS Word, other)  

• You are a master multi - tasker with the ability to shift priorities  

• You are proactive, possess a can-do attitude and focus on being positive and providing solutions  

• You take pride in your ability to anticipate needs 

• You bring a proven track record of managing administrative tasks in a fast - paced environment and the ability to self-manage  

• You are an excellent communicator, both written and verbal are a must, and you have the ability to interface effectively with individuals from multiple departments at multiple levels.  

• To get things done, you know when to go the extra mile and how to prioritize  

• You have excellent presentation skills and know how to prepare material for meeting agendas 

• Able to meet the physical requirements that go with working in a lab – standing and sitting for extended periods of time, use of hands, fingers, and arms to handle tools and controls, occasional need to climb, balance, stoop, kneel, crouch, or crawl, lift up to 25lb, and specific vision ability – close, color, depth perception, and ability to adjust focus  

• This is a laboratory, so there is potential exposure to biohazards, agents known to cause zoonotic diseases, and hazardous chemicals 

What You Can Expect From Us: 

• Hourly pay rate targeting: $30.00 / hr

Schedule:  

• You will be working 40 hours / week. 

• The working hours will likely have a start time of 9:00 am, and would end at 5:30 pm, depending on your start time. Flexibility to stay longer as needed a huge plus.
