Essential Duties and Responsibilities
Manages graduate school phone/email communications with potential students, applicants, and current students and facilitates resolution of issues. Monitors SLATE inboxes and answers or assigns to relevant staff including troubleshooting issues and providing related follow-through. Maintains, updates, and creates SLATE snippets to be used in email correspondence with students. Trains and supervises student workers. Monitors call rates, identifies process improvements, works collaboratively with admissions and recruitment staff. (35%)
Manages the administration and dissemination of the scholarship/fellowship/awards. Distributes calls for nominations, collects/processes applications/nominations, schedules review committee meetings, prepares materials for review committee, maintains data on award distribution for reporting purposes, fields questions about eligibility, and ensures compliance with eligibility requirements. Answers questions from departments and students regarding eligibility, deadlines, and application/nomination process.Maintains and manages webpages associated with graduate school fellowships and awards. Develops and maintains student FAQs as well as graduate program directory on the graduate school website.Prepares information for the UofM Honors Assembly and assists in the ceremony. (30%)
Supervises the day-to-day activities of the graduate school, maintains key inventory, orders office supplies, submits work orders, purchase orders, and IT helpdesk tickets, purchases computer equipment. Keeps graduate school staff abreast of HR policies, schedules meetings, makes travel arrangements. Assists in coordinating and organizing the Student Research Forum (spring semester) and Graduate Recruitment Fair (fall semester) as well as other graduate school special events including the Weil Fellow workshops. (30%)
Other duties as assigned (5%)
Bachelor’s Degree and a minimum of two (2) years of appropriate experience. Relevant experience may substitute for required education.
