Administrative & Front Office Operations
Oversees and coordinates administrative operations for the Commencement Office, including managing front desk and lobby activities, greeting and assisting guests, answering phones, responding to general inquiries, maintaining departmental records and inventory, and providing general administrative support to the Director and office.
Financial, Procurement & Contract Administration
Coordinates departmental financial and procurement activities, including processing invoices and payments, creating purchase orders for departmental expenses, processing revenue checks, and assisting with monitoring departmental budget accounts. Prepares and processes Request for Payment contracts and other applicable payment documentation for temporary employees, individual contractors, extra compensation, faculty extra compensation, overtime outside-position assignments, Commencement Crew members, and similar appointments.
Event Coordination & Commencement Operations
Provides coordination and operational support for Commencement Office programs and events, including commencement ceremonies, President’s Honors Assembly, diploma processing, cap and gown activities, and other university events. Assists with securing on- and off-campus event spaces, coordinating catering, supporting event logistics, and providing significant on-site event support.
Executive & Departmental Support
Supports the Director with daily departmental operations, including travel arrangements, preparation and processing of the President’s Quarterly Reports, scheduling and coordination needs, and other administrative activities necessary to support departmental operations and priorities.
Other Duties as Assigned
Performs other related duties as assigned in support of the Commencement Office and university operations.
Bachelor’s Degree and two years of administrative office experience. Relevant experience may substitute for the required education. Applicants must be authorized to work in the U.S. We are unable to sponsor or take over sponsorship of an employment visa at this time.
