St. Pius X Catholic School in Corpus Christi, Texas, is hiring a full-time Administrative Assistant for the school office. This role will provide administrative and clerical support to the principal, front office, bookkeeper, and students records and data.
Ministerial Character:

Each position employed in the Diocese of Corpus Christi helps to extend the ministry of the Diocesan Bishop in particular ways, as outlined in the job duties and responsibilities. Therefore, this position is closely connected to and assists the Diocesan Bishop in the performance of his ministry and thereby engages in ministry for the church.
Responsibilities:

- As an integral part of the ministry for the Church, this position will support and uphold the philosophy of Catholic ministry and the mission of the Diocese of Corpus Christi in both professional and personal life
- Acts as a witness to Gospel values by modeling the teachings of the Catholic Church
- Continuously grows in the ministry by participating in religious ceremonies, training sessions, and reflection activities as direct
- Performs other office duties as directed by the Principal, including but not restricted to business office functions
- Assist with campus budget preparation and maintain accurate records of expenditures
- Assist with planning and preparation of faculty meetings and campus activities
- Perform routine clerical tasks, including answering phones, greeting visitors, filing, organizing, managing incoming and outgoing mail, managing office communication and records, managing supply and fixed asset inventory, etc.
- Perform routine bookkeeping tasks, including maintaining budget records, AP/AR, processing purchase orders, preparing cash deposits, and maintaining ledger
- Assist with campus budget preparation and maintain accurate records of expenditures
- Assist with the school calendar of events; scheduling faculty meetings, campus activities, and appointments for the Principal
- Maintain confidentiality in all communication and records
- Provide assistance, support and direction for students, staff, and families as needed; maintain positive, frequent parent communication, returning calls promptly
- Collect, verify, maintain, and report accurate attendance data, including daily, class, semester, and end-of-term reports
- Maintain daily teacher attendance logs and records for substitute teachers
- Maintain personnel time records, including leave requests and reports, and compile information for the central office
- Create and maintain student files, ensuring their completeness in school databases; and manage input of student tuition, financial aid, and incidental billing
- Assist with registration and enrollment of new students, including requesting and sending records, and creating and maintaining complete and accurate student files; process withdrawals
- Distribute report cards and progress reports
- Maintain vaccination records, IMMTRAC database, and complete state compliance reports for vision, hearing, and spinal screenings and Acanthosis Nigricans
- Maintain Openpath security database and Raptor security database
- Perform other duties as assigned
Qualifications
Minimum Qualifications:
- High School Diploma or equivalent
- Valid Texas driver's license
- Must be 21 years of age or older
Skills and Abilities:
- Knowledge of effective use of technology
- Strong public relation skills, organizational skills, and strong oral and written communication skills
- Strong oral and written communication skills
- Must have organizational skills and a thorough knowledge of general office functions
- Must demonstrate ability to effectively and tactfully deal with all school publics

Mental/Physical Demands:
- Ability to carry, pull, push, lift, or move objects 10 pounds or more

Additional Requirements:

- Obtain certification in Safe Environment training provided by the Office of Safe Environment and Child and Family Resources
