POSITION SUMMARY:
The Brokerage Administrative Associate is responsible for working directly with a brokerage team and its leader in performing administrative assignments. It is the responsibility of the Brokerage Administrative Associate to prepare correspondence, documents, pitches, Request for Proposals, LOIs, and reports, etc.

It is also the responsibility of Brokerage Administrative Associate not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but also to focus on productivity and results.
POSITION ESSENTIAL FUNCTIONS
Prepare proposals and presentation decks incorporating text, charts, tables, and other documents using various software packages.
Track all projects and budgets to meet deadlines.
Compile moderately complex documents and information for necessary reports, informational packages and/or presentation materials.
Process team commission recaps and deal sheets for leasing transactions.
Schedule and organize meetings and events, conference calls and appointments.
Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site/location reservation, food orders, attendance confirmations, and interacting with attendees to address questions or issues on an event.
Assist brokers with State RE licensing renewals, registrations, and continuing education requirements as necessary.
Produce monthly reports for internal and external clients, based on area of business.
Assist with property research and posting listings on CoStar and other various listing sites including the Transwestern website.
Prepare and submit, track and process brokers’ expense reports.
Main point of contact for the brokerage team.
Additional assignments as assigned by the Team Leader.
POSITION REQUIREMENTS:
High school diploma or GED equivalent.
Some college and/or Associate degree preferred.
A minimum of 2 years of administrative experience, in commercial real estate a plus.
Proficiency with Microsoft Word, Teams, Excel, PowerPoint, Access, CRM/Database Management, Adobe Acrobat, and Outlook.
Flexible attitude, solution-focused and proven analytical and problem-solving abilities.
A strong desire to tackle new projects to assist a high performing team.
Excellent interpersonal skills - effective verbal and written communication skills.
Resourceful approach to effectively managing workloads to meet deadlines, while delivering high-quality work in a fast-paced environment.
Strong attention to detail - excellent proofreading and editing skills.
Ability to maintain discretion regarding personnel and industry-related matters.
A strong work ethic and sense of responsibility, reliability, and responsiveness.
Uses a computer in conjunction with various software packages the majority of the day.
Uses office equipment (copiers, binders, phone system, etc.)
Uses audio-visual equipment.
