Our Ideal Candidate Will

We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support daily office operations. The ideal candidate will be professional, proactive, and comfortable managing multiple responsibilities in a fast-paced office environment.

Requirements

We are searching for a candidate with:

  • No degree required.  Any experience with AI software a plus.
  • Previous administrative office experience preferred 
  • Proficiency in Microsoft Office programs, including Word, Excel, & Outlook 
  • Experience with QuickBooks required 
  • Strong organizational and communication skills
  • Ability to read, write, and speak English fluently.
  • Ability to multitask and work independently 
  • Professional attitude and attention to detail

Duties and Responsibilities

A typical day may include:

  • Answer and direct phone calls and emails 
  • Maintain filing systems and office records 
  • Assist with invoicing, billing, and data entry 
  • Handle general administrative and clerical duties 
  • Support accounting and bookkeeping functions using QuickBooks 
  • Coordinate with vendors, clients, and team members 
  • Maintain office organization and assist with day-to-day operations
     

Work Environment & Hazards

  • General office environment.
  • Must be able to remain sedentary for extended periods of time. 
  • The performance of this position may occasionally require exposure to the manufacturing areas where under certain areas require the use of personal protective equipment such as safety glasses with side shields.
  • Risk of injury on warehouse floor.
     

Special Physical Demands

  • Limited physical effort. Requires occasional moving of materials and equipment
  • Must have the ability to lift a minimum of 25 lbs.

Position Details

  • Full Time, Regular
  • Day shifts, typically 8:00am-4:30pm
  • Based in the Bay Shore, NY (In-Person)
