POSITION OVERVIEW
The Administrative Assistant monitors the task accomplishment of the People Department and provides administrative support to ensure efficient operations. The Administrative Assistant assists with HR documentation, performance management, employee database management, generation of reports and analysis of data. This role works closely with the VP People in gathering requirements, including process opportunities, the company's performance status, and new reporting needs. The Administrative Assistant acts as a liaison to the other departments and assists in meeting the department's needs to attain the company's objectives.
This position supports initiatives across the People Department, Operations, Talent Management / Learning & Development, and Other Internal Support Units. The ideal candidate will manage the administrative aspects for everything within the VP People's scope (their department and any extensions), possessing a clear understanding of the business and the different teams.  They must quickly pick up the purpose of tasks and align with outcome-based results based on set instructions.
WHAT WILL YOU DO?
Administrative Duties
  • Provides end-to-end administrative and operational support for the VP of People, encompassing all core and extended departmental functions
  • Coordinates with employees and their immediate supervisors in ensuring timely submission of performance evaluations
  • Documents Minutes of the Meeting (MOMs)
  • Prepares data analytics and reports needed by the People Department
Data Analysis & Reporting
  • Generates comprehensive reports and conducts data analysis to support the VP People.
  • Utilizes Microsoft Excel/ Google sheets to track, measure, and analyze HR and business-related metrics.
  • Monitors and reports on the company's performance status and process opportunities.
  • Delivers regular, comprehensive presentations on departmental reports, performance status, and analytical findings to the VP People and relevant stakeholders.
Project Monitoring
  • Assists in monitoring university linkages and internship programs
  • Oversees project/task progress of the People Department
  • Relays instructions of VP People to respective teams and follows through regarding task completion
  • Supports initiatives and acts as a liaison across Operations, Talent Management / Learning & Development, and other Internal Support Units.
Additional Duties
  • Assists the People Department in various clerical/administrative tasks
  • Accomplishes other tasks as may be assigned by the immediate supervisor/manager

WHAT SHOULD YOU HAVE?
  • Bachelor’s Degree in Psychology, Behavioral Science, Human Resource Management or any equivalent degree
  • At least 1 - 2 years’ experience in a similar role/capacity
  • Above average English verbal and written communication skills
  • Excellent Interpersonal skills
  • Well-versed with different Microsoft Office tools and Google Workspace applications
    • Preferably with experience or proficiency with reports and basic data analysis
  • Strong business acumen, paired with a comprehensive understanding of cross-functional HR operations and departmental dynamics
  • Collaborative mindset
  • Strong drive for success and willingness to learn
  • Keen attention to detail
  • Strong comprehension showing ability to quickly pick up what the purpose of tasks may be
  • Ability to quickly identify aligned outcomes based on set instructions given

Skills Required

  • Bachelor's Degree in Psychology, Behavioral Science, Human Resource Management or equivalent
  • 1 - 2 years' experience in a similar role
  • Above average English verbal and written communication skills

  • Well-versed with Microsoft Office tools and Google Workspace applications
