IEM is looking for a Full-Time Administrative Assistant to work with our Disaster Recovery team; the preferred candidate will have at least three (3) years of experience providing administrative support and expertise.
Primary Location:
- Live within the United States including any US territory
- Work from a personal/home office location
Travel Requirements:
- No travel is anticipated for this role.
Essential Functions:
- Provides clerical support such as handling incoming and outgoing mail and scanning and uploading documentation into the system of record.
- Provides administrative support to the Program leadership.
- Schedule/attend/take minutes during meetings
- Assist with program training development and tracking
- Provide written and verbal communications support
- Document editing for policies and procedures
- Manages and maintains data collection and reports as required.
- Relays communications to staff on behalf of Program Managers and other leads.
- Manages several tasks simultaneously and remains flexible to learning new task assignments.
- Performs other duties as assigned.
Minimum Qualifications:
- Degree: A high school diploma or equivalent.
- Experience: Three (3) years of experience performing customer service, administrative and/or clerical work.
- Experience and Degree Substitution: An equivalent combination of education, experience, and training that demonstrates the required knowledge, skills, and abilities necessary to effectively perform the duties and functions of this position may be considered.
- Ability to acquire and implement a working knowledge of applicable Program rules and regulations.
- Demonstrate strong organizational and administrative competencies inclusive of exceptional record keeping, scheduling and task tracking capabilities, excellent written and oral communication skills and commitment to teamwork and excellence in responsibilities.
- Ability to multitask and work independently while providing excellent customer service.
- Intermediate level skills with various database and program management tools such as SmartSheet, Power BI, SharePoint and other Microsoft Office Suite products.
Preferred Qualifications:
- Experience supporting construction management activities
- Resident of California
- Experience with Disaster Recovery programs
