We currently have an opportunity for an Administrative Assistant to join our team in our Annapolis, MD office.

The selected individual will have the opportunity to provide customer service to our staff and to our clients. You will provide administrative support to our team and will help our team build stronger relationships with our clients.

Job Responsibilities:

  • Answer multi-line phone system, determine purpose of callers, and forward calls to appropriate personnel or department in a friendly and professional manner.
  • Provide callers with address, directions, and other information as required.
  • Greets guests as they enter the office.
  • Opens and distributes the incoming mail and packages.
  • Collects and prepares the outgoing and overnight mail.
  • Sends, receives and distributes faxes.
  • Check and mail processing.
  • Organize employee events.
  • Help with reports, numbers, etc. as assigned.
  • Provides administrative support for all departments such as, printing, filing, photocopying, data entry, scanning, binding and collating, downloading company reports, mail distribution and mail-outs.
  • Orders, receives and maintains office supplies and proactively ensures office supplies are available when needed.
  • Creates, updates, and prints Excel spreadsheets, Word documents, and PowerPoint presentations as assigned.
  • Maintains calendars for Admin Services, conference rooms, conference calls and Web meetings.
  • Attend and complete any training sessions or assignments as required.
  • Establish and maintain effective professional working relationships with co-workers, and every level of management.
  • Communicate with co-workers, management, clients, and others in a courteous and professional manner.
  • Conform with and abide by all regulations, policies, work procedures, and instructions.
  • Other responsibilities and projects as assigned by Manager.

Qualifications:

  • High School diploma or GED; AA and/or college degree preferred, but not required.
  • 2+ years of related office experience, or an equivalent combination of education and experience
  • Bilingual abilities in English and Spanish.
  • Proven computer proficiency - Microsoft office Suite, Outlook, etc.
  • Professional appearance and demeanor.
  • Demonstrated customer service skills.
  • Proven ability to manage multiple tasks with competing priorities.
  • Demonstrated oral and written communication skills with the ability to effectively interact with all levels within the organization.

The expected salary range for this position is $15.38 to $21.79 hourly and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level. HUB International is proud to offer comprehensive benefit and total compensation packages which could include health/dental/vision/life/disability insurance, FSA, HSA and 401(k) accounts, paid-time-off benefits such as vacation, sick, and personal days, and eligible bonuses, equity and commissions for some positions.
