Location: This role will require onsite in our Sarasota, FL location.

The Opportunity

Are you a master of organized chaos? Do you pride yourself on being three steps ahead of everyone else? We are a fast-growing startup looking for a high-energy, proactive Executive Administrative Assistant to act as the backbone of our leadership team.

In this role, you won’t just be "managing calendars"—you’ll be the gatekeeper and strategic partner to our C-Suite, ensuring our executives can focus on scaling the business while you handle the mission-critical details of our daily operations.

Key Responsibilities
  • Calendar Mastery: Proactively manage complex, high-volume calendars for the C-Suite. You’ll resolve scheduling conflicts before they happen and ensure every meeting has an agenda.

  • Startup Logistics: Coordinate end-to-end domestic and international travel, including flights, lodging, and ground transportation, often with last-minute changes.

  • Google Workspace Expert: Utilize the full Google Business Suite (Docs, Sheets, Slides, Drive) to create reports, manage shared filing systems, and keep the team synchronized.

  • Communication & Customer Service: Serve as the primary point of contact for internal and external stakeholders. You’ll represent the executive team with a polished, helpful, and professional attitude.

  • Ad-hoc Project Management: Help build the "playbook" for our scaling operations. This includes everything from expense reporting to organizing team off-sites and investor meetings.

What You Bring to the Table
  • C-Suite Experience: At least 2 years of experience supporting senior executives, preferably in a fast-paced startup or tech environment.

  • Google Suite Proficiency: You don't just use Gmail; you know how to leverage Sheets for tracking and Drive for impeccable file organization.

  • Elite Time Management: You have a "get it done" mindset and the ability to prioritize a massive to-do list without dropping the ball.

  • Adaptability: You thrive in the ambiguity of a scaling company. When plans change (and they will), you know how to pivot.

  • Discretion: You handle sensitive company and personnel information with the utmost confidentiality.
