Responsibilities include:
- Serves as the initial point of contact for guests entering the facility and oversees entrance gate operation.
- Maintains guest Personal Protective Equipment (PPE) supplies and ensures availability for visitors, contractors, and vendors.
- Assists the Chief Operator in planning and organizing daily safety meetings and monthly SPARKS meetings, including documentation and attendance tracking.
- Maintains and distributes the On-Call list and updates changes in a timely manner.
- Ensures training records (e.g., confined space, CPR/First Aid, forklift, HAZWOPER) are complete and current.
- Manage the Computerized Maintenance Management System (CMMS) to track and coordinate maintenance activities and work orders. Schedule work orders and coordinate with relevant personnel to ensure timely execution and completion of tasks.
- Conducts annual reviews of Safety Data Sheets (SDS), Standard Operating Procedures (SOPs), and Job Safety Analysis (JSAs); updating records as necessary.
- Manage and order supplies, monitor inventory levels and coordinate timely deliveries.
- Coordinate with other corporate groups such as Accounting, Marketing, and Health and Safety to facilitate effective communication and collaboration.
- Assist with special projects as assigned, conducting research, analyzing data, and providing project support.
- Maintains filing systems and ensures recordkeeping compliance with federal, state, and local requirements, including Florida public records laws. Assist the manager in planning and implementing department programs, activities, and services as required.
- Request utility locate services through 811 prior to conducting any dig repairs or activities.
- Manage and provide necessary maps for water and sewer locates to technicians, contractors, and vendors, ensuring accurate and up-to-date information is available.
- Perform other related duties as required, which may include assisting with data entry, conducting research, and providing general administrative support.

- Experience providing administrative support for utilities is preferred.
- High school graduate or equivalent preferred with ability to carry out required tasks.
- Proficiency in Microsoft Office (Word (intermediate), Excel, PowerPoint, and Outlook).
- Experience in utilizing CMMS (Computerized maintenance management systems) a plus.
- Excellent verbal, written and interpersonal skills.
- Ability to establish and maintain effective working relationships with employees and the public.
- Ability to work under pressure with competing demands.
