POSITION SUMMARY
This position under direct supervision of the Capital Projects Manager will be responsible for providing administrative support to the Capital Projects Department and will maintain the work order process flow for scheduling, tracking, and auditing. These duties include database system maintenance and training, office and field construction supply procurement, typing, filing and meeting coordination. The main functions are office support duties, as assigned, to ensure that the department's administrative functions are completed and maintained in an effective, timely and accurate manner. Special departmental projects are assigned as needed. Must be able to effectively communicate with appropriate parties, coordinate internal and external contacts, and assist with a variety of challenges that require problem solving and decision making.
EDUCATION REQUIREMENTS
- High School Diploma or equivalent required
- Community college coursework in business administration preferred
EXPERIENCE REQUIREMENTS
- 4+ years of experience working in an office environment required
- Experience or exposure to working in a refinery preferred
- Excellent customer service skills and the ability to establish personal credibility with internal and external contacts
- Demonstrated attention to detail and achievement orientation
- High level of skills with MS Office Suite required
- Ability to compose letters, forms, and reports
- Ability to organize and control documents throughout departments
- Ability and desire to prioritize tasks and perform duties within deadlines
- Strong mathematical skills to calculate figures and amounts such as interest, proportions, and percentages
- Ability to assist in managing for electronic data gathering system (EDS)
- Fluent in English, oral and written required
- Ability to adjust schedule to meet business needs
MAJOR ACCOUNTABILITIES
- Maintain a comprehensive administrative filing system including archival and storage inventories in accordance with good records management systems practices
- Organize schedules and meetings as required including contacting participants and making other necessary arrangements
- Prepares, as directed, purchase requisitions and contracts for departmental needs, also verifies invoices against purchases and contract deliverables
- Completes special assignments as identified by the Department Manager
- Ensures a safe and healthy work environment by complying with plant health and safety policies and procedures
- Input information into various databases as needed
- Ability to establish and maintain effective working relationships with facility staff, and plant employees
- Log and track action items between CVR and CVR's vendors and contractors
- Track release of engineering design packages
- Coordination of project engineering documentation with document control
- Log and track AFE's in and out of department and refinery
- Log and track project requests into department
- Assist with budgeting process, tracking of PAF's, etc.
- Cost tracking and monthly reporting on department projects.
- Exposure to work near potentially volatile and combustible materials and chemicals
