The Role

Job Purpose: We are looking for a reliable and organized Administrative Assistant to support our HUB Equine Solutions Practice team. In this role, you will help with everyday office tasks such as processing insurance documents, managing reports, and assisting with requests from team members and clients. You’ll work closely with the Practice Leader and other senior staff, helping to keep things running smoothly behind the scenes. The ideal person for this job is detail-oriented, good with computers (especially Microsoft Word, Excel, and Outlook), and comfortable juggling different tasks at once.

Key Responsibilities:

  • Provide administrative support to the Practice Leader and senior staff
  • Process various documents into the system; including but not limited to policies, cancellations, endorsements, quotes, renewal notices, etc.
  • Process and complete certificate requests from AMs and insureds
  • Process data from carriers into the system
  • Complete daily and monthly carrier reports
  • Other duties may be assigned

Qualifications:

  • Proficient in Microsoft Office: Word, Excel, Outlook
  • Can prioritize workflow and understand urgency
  • Must have attention to detail, is highly organized and understand its importance
  • Experience working with data; entering, extracting and analysis
  • Multi-tasking – working on various assignments simultaneously
  • Is able to meet deadlines within tight timeframes
  • Must be a self-starter and enjoy working in a team environment
  • Strong initiative and ability to work independently with a strong sense of ownership.
  • Excellent communication and telephone skills are required; both verbally and written
  • Understands the need for change and is flexible when needed.

Position Type/Expected Hours of Work

This is a part-time position. Days and hours of work are flexible and will be determined upon hire.

Position Location This is a Hybrid position at our Lexington, KY office.

Department Office Administration & Clerical

Required Experience: 1-2 years of relevant experience

Required Travel: No Travel Required

Required Education: High school or equivalent
