Position Summary

This role will be hybrid based in Raleigh, NC

Job Summary:

We are seeking an exceptional, self-motivated, and versatile Administrative Assistant to support several members of this new businesses’ management team. Someone with excellent problem solving and good judgment skills and the ability to think and plan ahead to handle multiple concurrent requests appropriately and manage time effectively. This role requires attention to detail, ability to meet tight deadlines, great organizational skills, and integrity and professionalism in handling confidential information. Ability to accommodate flexible work schedule, based on the needs of the Grover Charitable Gaming executives.

Essential Job Functions:

  • Maximize Executive(s) efficiency and priorities including booking appointments, managing to-do’s and maintaining frequently changing calendar through Microsoft Outlook. Make sure the Executive(s) day is organized and productive.
  • Coordinate all aspects of appointments, meetings, receptions and conference calls, including booking of rooms, ordering of food, disseminating of materials, working with other administrative staff, etc.
  • Book and/or coordinate travel arrangements including both domestic and international travel (air, ground, hotels, dining, and tours, etc.) for members of the executive team.
  • Serve as gatekeeper of Executive time, schedules, and information while maintaining a courteous and confidential manner.
  • Prepare, reconcile, and track expense reports of members of the executive team.
  • Handle office management needs
  • Planning and coordinating team events and offsites for which the executive team is a part of

Qualifications

Qualifications, Training and/or Experience:

  • 3+ years of travel, accounting, and/or admin support role

Knowledge, Skills and Abilities:

  • Proficiency with Microsoft Office: Outlook, Excel, Word, PowerPoint, and SharePoint.
  • Detailed planning, time management, and organizational skills.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Experience with expenses and expense reporting
  • Experience booking and coordinating travel
  • Understands and meets deadlines and time sensitive issues in a fast-paced environment.
  • Builds relationships with internal/external leaders and other team members.
  • Maintains confidentiality and acts with discretion with a high degree of professionalism.
  • Quickly learns and adopts new technologies.
  • Able to change direction as needed and perform with unanticipated interruptions or pressures.
  • Collaborative, team player; willing to jump in and do the work needing to be done.

Education:

  • Associate degree preferred
