One of our top producing advisory teams is looking for a proactive, organized, and enthusiastic Administrative Assistant. The successful candidate will demonstrate excellent attention to detail, organizational, communication and computer skills, along with the ability to prioritize and manage a complex workload. If you are looking for a fast-paced environment that is driven by results, this might be of interest to you.

Responsibilities:

  • Provide day-to-day administrative support to the Investment Advisor and team;
  • Oversee team task management, ensuring tasks are assigned, prioritized, and completed efficiently to meet deadlines and organizational goals;
  • Process expense reports and invoices in a timely and accurate manner;
  • Assist in the preparation of business correspondence, presentations, meeting materials, completing monthly and quarterly reports across multiple platforms in a timely manner;
  • Manage multiple administrative functions related to the firm’s managed account platform;
  • Manage and maintain account systems, ensuring proper organization, timely updates, and regular follow-ups to ensure smooth operations and resolution of outstanding tasks;
  • Assist with maintaining and managing various databases, files, records and other documents;
  • Assist in servicing both existing and new clients, ensuring their needs are met, providing timely support, and maintaining positive client relationships;
  • Be accessible and prompt throughout the day;
  • Perform general ad-hoc administrative duties.

 
Skills & Qualifications:

  • A minimum of 1 years of experience as an Administrative Assistant, in a fast-paced professional environment;
  • Excellent verbal and written communication skills complemented by exceptional interpersonal skills;
  • Effective follow-up skills, ensuring tasks are completed on time and issues are resolved promptly;
  • Commitment to delivering high-quality customer service, ensuring client satisfaction and fostering strong relationships;
  • Demonstrated ability to anticipate needs and take initiative;
  • Ability to demonstrate a high level of discretion and confidentiality;
  • Self-starter with strong organizational, problem-solving, and attention to detail skills;
  • Excellent prioritization skills with an ability to meet deadlines and remain calm under pressure;
  • Teamwork skills complemented by the ability to work well independently;
  • Demonstrated ownership and accountability;
  • Willingness to complete CSC, CPH and licensed with CIRO;
  • Advanced proficiency in MS Suite (MS Teams, Word, Excel, Outlook and PowerPoint);
  • Working knowledge of Dataphile is considered an asset.
