The Administrative Assistant will provide administrative and office support activities within the department. This role will be required to work with all levels of internal management and staff. The ideal candidate will be resourceful and organized and will have strong Microsoft office and communication skills.
Essential Duties & Responsibilities

Provide administrative support for the department leadership as well as for other members of the team.

Process invoices and expenses for payment.

Arrange conference calls and meetings including any necessary meeting preparation, hotel/meal accommodations and recording/distribution of meeting minutes/action items.

Coordinate travel arrangements and reservations.

Lead planning for department events.

Assist with maintaining documents, including policies and procedures, diagrams, and organizational charts. Produces accurate, quality and professional materials.

Assist with maintaining the department SharePoint site.

Design, maintain and compile data for monthly and quarterly reports.

Assist with project management.

Coordinate departmental contracts, handling information in a confidential matter.

Organize and maintain file system.

Handles departmental mail and incoming/outgoing correspondence

Maintain and order department office supplies.

Participate in team, departmental, and company projects and meetings as needed.

Deliver excellent customer service by maintaining professional, consultative, positive working relationships with internal and external customers. Team Player.

Schedule appointments and maintain calendars.

Perform other duties as assigned.
Education, Requirements & Competencies
-
Associate’s degree (A.A.) of equivalent from a two-year college or technical school.

5+ years of relevant experience.

Able to organize, prioritize, communicate and meet established deadlines.

Proficiency in Microsoft office, including Sharepoint, Outlook, Word, Excel, and PowerPoint.

Professional business written and oral communication skills required.

Strong organizational and time management skills.

Customer service oriented.
-
High attention to detail.
-
Demonstrated experience supporting a distributed team is a plus.
Base salary range is $57,800 - $68,000. Individual compensation packages are based on a variety of factors that are unique to each candidate including location, skill set, experience, qualifications and education.
