Overview:
ISS STOXX is currently seeking an Administrative Assistant to join our Corporate Services team in Manila.
Responsibilities:
-
Provides administrative support for Manila office for approximately 1,200 staff and some operations that are on a mid or night shift schedules.

Process, verify and upload of invoices in accordance with the internal policies & procedures.
-
Manage the conference room reservations and gate pass request.
-
Coordinate travel arrangements.
-
Handle employee complaints and requests sent through the ServiceNow Portal ticketing system.
-
Coordinate external and internal event management, including sourcing and booking venues, collation of participation lists and related material, preparation and distribution of documentation and invitations and liaison and follow-up with team members through to completion of event.

Coordination of relocation and temporary accommodation arrangements.
-
Liaise with Manila team members on day-to-day administrative matters.

Maintain contract file and list for vendors.

Provide administrative support and cover for team members.
-
Oversee daily operations including maintenance and upkeep of the facilities.

Maintain the inventory of stocks and replenishment of office and pantry supplies.

Provide back up support for the reception desk.

Other ad hoc projects and duties as advised by reporting manager.
Qualifications:
-
Must be a Degree holder, and with at least 1-2 years proven relevant working experience in a multinational organization.

Preferably with OSH experience and with experience working on CSR projects.

Able to work independently, and is a team player, with excellent interpersonal skills.

Detail-oriented, with excellent organizational skills and a strong sense of job ownership.

Adaptable, proactive, and possess a positive attitude and work ethics.
-
Proven track-record of meeting tight deadlines.

Able to multi-task and is results-driven.

Must be proficient in verbal and written English

Advanced skills in Microsoft Word, Excel, PowerPoint, Outlook, and Internet.

Willing to learn and apply new or revised systems and work-flows.
-
Familiar with event organizing preferred.
-
Familiar with hotel and travel arrangements an advantage.

Flexible with working hours to meet deadlines for tasks and projects.

Ability to work with highly confidential information.
