Job Summary

Provide administrative support by assisting in a range of administrative support duties including but not limited to answering phones, greeting customers, general clerical duties, coordinating travel arrangements, preparing expense reports, planning company sponsored events, coordinating meetings, processing mail, maintaining corporate calendar, ordering office supplies, special project requests and arranging for repair and maintenance of office equipment.

Essential Job Duties and Responsibilities

  • Meet and greet visitors, provide telephone support and respond appropriately to general inquiries and requests from internal and external customers.
  • Act as a shared resource providing support to all Leadership personnel as requested.
  • Maintain customer confidence and protect operations by keeping information confidential.
  • Prepare/modify documents including correspondence, reports, drafts, memos, emails, and presentations.
  • Coordinate travel arrangements and process expense reports as requested.
  • Coordinate and execute all company sponsored events under the direction of the HR/EAC Team.
  • Support staff in assigned project-based work.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, reconciliation, contract mgmt. and filing.
  • Setup and coordinate meetings and conferences including meals/beverages if required.
  • Back up Customer Service when needed.
  • Open and distribute mail daily.
  • Maintain VP calendar.
  • Maintain office supply inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Arrange for the repair and maintenance of office equipment.
  • I-9 coordinator for the location
  • Perform other duties as assigned.

Education and Experience Requirements

  • High school diploma, GED or equivalent. 
  • 2 to 3 years of experience or training in Administrative Assistant role.
  • Proficient in all MS Office applications, including Microsoft Excel, Word, PowerPoint and Outlook.
  • Work requires continual attention to detail, accuracy, establishing priorities and meeting deadlines.
  • Excellent verbal and written communication skills and ability to interact with individuals at all levels of the organization.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must be able to handle multiple tasks/projects and manage priorities accordingly.

Preferred Skills and Abilities

  • Flexible to respond to urgent project needs.
  • Proven track record of representing senior management levels/offices with professionalism and discretion both internally and externally.
  • Excellent organization, planning and time management skills.
  • Demonstrated personal ownership of tasks and follow through to get the required results.
  • Takes personal responsibility for making decisions or acting when a quick response is required.
  • SAP experience a plus
