The Role

By Landmark Hospitality is seeking a highly organized, dependable, and proactive Administrative Assistant to support the President of By Landmark, and the day-to-day administrative needs of our operations leadership team.

This role is ideal for someone with a strong secretarial, administrative, or executive support background who enjoys being the person behind the scenes who keeps things organized, moving, and on track. You will work closely with the President, operations leadership, venue teams, and other departments to coordinate schedules, correspondence, meetings, documents, projects, and day-to-day administrative needs across the organization. The right person is professional, resourceful, discreet, and comfortable working in a fast-paced environment where priorities can change quickly. You don't need to wait to be told what needs to be done — you notice it, organize it, and follow through.

Key Responsibilities

  • Provide administrative support to the President of By Landmark and leadership.
  • Manage calendars, appointments, meetings, and scheduling priorities.
  • Coordinate internal and external meetings, including agendas, materials, logistics, and follow-up.
  • Prepare, format, proofread, and organize correspondence, reports, presentations, spreadsheets, and other business documents.
  • Monitor communications and assist with prioritizing requests and follow-ups.
  • Maintain organized electronic and physical files and confidential records.
  • Coordinate travel arrangements, itineraries, accommodations, and transportation as needed.
  • Assist with expense reports, invoices, receipts, and other administrative financial tasks.
  • Maintain strong relationships with employees, vendors, partners, and external contacts.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Take on additional responsibilities as the needs of the business evolve.
Who We're Looking ForRequired Qualifications
  • 3–5+ years of experience in a secretary, administrative assistant, executive assistant, office coordinator, or similar role.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and follow-through.
  • Professional written and verbal communication skills.
  • Ability to manage multiple priorities while remaining organized and composed.
  • Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Comfortable communicating with executives, managers, vendors, and employees at all levels.
  • Ability to work independently while also being a strong team player.
Preferred
  • Experience supporting a CEO, COO, President, owner, or senior operations leader.
  • Hospitality, restaurant, hotel, event, lifestyle, or service-industry experience a plus.
  • Experience coordinating meetings, events, travel, or executive schedules.
  • Familiarity with expense reporting, invoices, basic accounting, or administrative financial processes.
Compensation & Benefits
  • Base salary: $60,000–$65,000 annually, commensurate with experience
