Pyramid Healthcare is seeking a highly organized, dependable, and customer-focused Administrative Assistant to join our team in Jacksonville, NC. As the first point of contact for clients, visitors, and referral partners, you'll play a vital role in ensuring the smooth day-to-day operations of our behavioral health program.

What You'll Do

As an Administrative Assistant, you'll help keep our facility running efficiently while providing outstanding support to both clients and staff.

Responsibilities include:

  • Welcome clients, visitors, and vendors while creating a professional and compassionate first impression.

  • Answer and direct incoming phone calls promptly and professionally.

  • Coordinate appointments, meetings, and calendars as needed.

  • Maintain client records, including filing, scanning, transcription, and records transfers while ensuring HIPAA compliance.

  • Assemble and maintain client intake packets and required documentation.

  • Perform general administrative duties including copying, faxing, mailing, data entry, and correspondence.

  • Assist with intake paperwork, billing documentation, and communication with referral sources.

  • Order, receive, and maintain office and client supplies.

  • Prepare check requests and maintain census, intake, and discharge tracking logs.

  • Coordinate office equipment maintenance and communicate with vendors.

  • Record meeting minutes and assist with administrative reports.

  • Maintain petty cash in accordance with company policies.

  • Ensure the reception and office areas remain clean, organized, and welcoming.

  • Support facility leadership with additional administrative projects as assigned.

Qualifications

Required:

  • High school diploma or GED.

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office and general computer applications.

  • Professional telephone etiquette and customer service skills.

  • Ability to maintain confidentiality and work in compliance with HIPAA regulations.

Preferred:

  • Previous administrative, receptionist, medical office, or clerical experience.

  • Experience working in healthcare, behavioral health, or a human services environment.
