OVERVIEW
We are seeking a reliable and detail-oriented Administrative Assistant to support our Woodland Park office. Working under the guidance of Managers and/or Partners, this role will provide administrative support to both clients and internal staff. The ideal candidate is organized, professional, and comfortable in a fast-paced environment. MAJOR RESPONSIBILITIES
- Utilize Microsoft Office tools, including Word and Excel, in daily work
- Operate firmwide software systems and manage multi-line phone systems
- Greet clients and provide professional, responsive service in person and by phone.
- Coordinate appointments, calendars, and scheduling.
- Prepare and process outgoing mail, including occasional trips to the post office.
- Maintain general office organization, supply inventory, and ordering.
- Prepare and distribute weekly reports.
- Assign incoming projects and assist with tracking workflow and progress and completion.
- Scan, file, and assemble tax returns and client reports
- Maintain accurate paper and electronic filing systems and track E-file authorization forms.
- Collect and process client payments
- Perform other duties as assigned to support firm operations
- Proficiency with common computer applications and the ability to learn new software.
- Friendly, approachable, and professional demeanor with strong interpersonal and client-service skills.
- Ability to organize and manage multiple priorities in a fast-paced environment.
- Strong problem solving skills and a proactive approach to work.
- Effective written and communication skills.
- Strong attention to detail and accuracy.
- Ability to work extended hours during peak seasons.
- High School Diploma or GED required;
- At least 3 years of experience in a similar administrative role is preferred.
- Previous experience at a CPA or accounting firm is a plus, but not required.
- Previous medical office experience is a plus.
- Experience using 10-key adding machine for high volume numerical data entry is a plus.
COMPENSATION & BENEFITS:
$20-25 per hour. Compensation is based on several factors, including the scope and responsibilities of the role, the candidate's experience and education, geographic location, and current market trends.

WORKING CONDITIONS
Must be able to operate a variety of machines and equipment, including computer, office equipment, telephone, etc. Tasks may require extended periods of time at a keyboard or workstation. Required to occasionally lift, hold, or carry items weighing up to 40 pounds. Individuals must perform the principal duties and responsibilities with or without reasonable accommodation.
