Job Summary

The Receptionist will be the first point of contact for our company. The Receptionist’s duties include offering administrative support across the organization, welcoming guests and greeting people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Primary Responsibilities:

  • Front Desk Coverage: Ensure proper coverage during business hours.
  • Office Maintenance: Keep all areas presentable and track all activity.
  • Guest Experience: Meet, greet, and direct incoming guests. Validate parking and assist guests as needed.
  • Meeting Management: Manage conference room calendars via Outlook, reconfirm meetings, and set up catering as needed.
  • Inventory Management: Maintain and refill office and kitchen supplies.
  • Mail and Package Handling: Receive, sign, and distribute all incoming packages. Handle mail and distribution.
  • Event Organization: Organize birthdays or special events as needed.
  • Communication: Arrange and prepare email correspondence and other communications.
  • Project Management: Tackle ad-hoc projects efficiently, meeting deadlines, and ensuring completion.
  • Staff Support: Assist staff members with expense reports, travel, calls, and other needs.
  • Invoice Management: Track and enter invoices.
