The Administrative Assistant will serve as a trusted partner to our Head of Clover Product, Head of FinVAS and other senior leaders, providing proactive, high-impact administrative and operational support in a fast-paced, dynamic environment. The role requires a highly organized, resourceful, and detail-oriented professional who demonstrates strong ownership, sound judgment, and absolute discretion when handling sensitive and confidential matters. Acting as a central point of coordination, the Administrative Assistant anticipates needs, removes obstacles, manages competing priorities, and fosters seamless communication across internal and external stakeholders. Success in this role requires the ability to operate with urgency, influence without authority, and consistently deliver flawless execution while managing complex calendars, communications, and events.
What you will do:
Manage and maintain Leaders' complex calendar, appointments and meeting schedules. Skillfully scheduling meetings across various time zones.
Arrange detailed travel for domestic/international and accommodations. Oversees end-to-end travel logistics.
Prepare, edit, and proofread correspondence, reports, presentations, and other documents.
Coordinate logistics for meetings, events, and video conferences, including agendas, materials, and meeting minutes as assigned.
Handle sensitive information with discretion and maintain confidentiality.
Screen and prioritize incoming emails, calls, and requests, responding or redirecting as appropriate.
Prepare and submit expense reports and ensure timely reimbursement and tracking.
Track project deadlines and deliverables to assist the SVPs in staying on schedule.
Assist with internal communications and special projects as needed.
Provide support to the Sr Executive Assistant as required on office and other administrative tasks.
Serve as greeter to facilitate customer visits and other internal leaders visiting the campus.
Support office activities as key contributor and organizer of Sunnyvale based events.
What you need to have:
Proven experience as an executive or administrative assistant.
Excellent verbal and written communication skills.
Proficiency in Google Workspace is highly preferred. Experience in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is helpful.
Strong organizational and time-management skills.
Ability to work independently with minimal supervision.
Discretion and professionalism in handling confidential information.

Salary Range
$74,800.00 - $101,200.00These pay ranges apply to employees in Sunnyvale, California. Pay ranges for employees in other states may differ.
