Amerisure is currently recruiting for an Administrative Assistant, Staff Counsel that can do a 3-day hybrid approach onsite in our Farmington Hills office. The ideal candidate will also possess the following skill set. 

Summary Statement

The Administrative Assistant provides administrative and litigation support to attorneys handling insurance defense matters within Amerisure’s Staff Counsel Office. This position is responsible for assisting attorneys throughout all phases of litigation, including case management, document preparation, court filings, scheduling, discovery coordination, and communication with clients, courts, opposing counsel, experts, and vendors. Plays a critical role in ensuring efficient legal operations, compliance with court rules and deadlines, and high-quality client service.

Essential Tasks/Major Duties

  • Assist attorneys in managing insurance defense litigation files from assignment through resolution. Prepare, format, revise, and proofread legal documents, pleadings, motions, correspondence, subpoenas, and discovery materials.
  • File pleadings and other legal documents electronically through state and federal court e-filing systems.
  • Monitor court dockets and maintain calendaring of hearings, depositions, mediations, trial dates, and litigation deadlines.
  • Arrange for court reporters, videographers, interpreters, and other litigation vendors.
  • Open and maintain organized electronic and physical case files in compliance with company and legal department standards.
  • Review incoming correspondence and court notices to identify deadlines and required actions.
  • Assist with gathering, organizing, and indexing claim file materials, medical records, business records, and other evidence.
  • Prepare exhibits, witness files, mediation materials, and trial notebooks.
  • Track discovery requests, responses, and outstanding litigation tasks.
  • Serve as a point of contact for claims professionals, attorneys, experts, courts, and opposing counsel.
  • Provide timely updates regarding scheduling matters and litigation activity.
  • Support collaboration between Staff Counsel attorneys and claims personnel to ensure effective case management.
  • Ensure adherence to court rules, procedural requirements, and filing deadlines.
  • Maintain confidentiality of privileged, sensitive, and proprietary information.
  • Support continuous improvement initiatives and legal department operational goals.

Knowledge, Skills & Abilities

  • Associate’s degree or equivalent work-related experience.
  • 5 years’ administrative support experience in a litigation setting.
  • Proficiency with all Microsoft Office Suite applications, as well as Microsoft Teams and Zoom. 
  • Excellent organizational skills and ability to function in a fast paced, highly visible, and changing environment.
  • Ability to work effectively with minimal supervision.
  • Excellent problem solving, critical thinking and decision-making skills.
  • Demonstrated successful ability to perform accurate work under the pressures of tight schedules.
  • Excellent interpersonal and communication skills with the ability to interact with all levels of the organization.
  • Ability to handle confidential and sensitive information.

Skills Required

  • Associate's degree or equivalent work-related experience
  • Five years of administrative support experience in a litigation setting
