The Administrative Assistant Sr. will support our Investor Relations team and play a key role in providing administrative and office support. This role is critical in ensuring the smooth execution of Investor Relations including investor meetings, conferences, roadshows, and communications. The ideal candidate will be a self-starter with exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities/Expectations
- Provides administrative and clerical support, including work of a confidential nature.
- Responds to inquiries from internal and external business partners.
- Assists in the technical and functional services of the department by supporting projects, managing invoices, preparing documents for approval, developing presentations, monitoring data, and generating reports.
- Maintains cost center data and analysis.
- Assists with budget and forecast preparation.
- Coordinates and supports assigned projects and departmental initiatives.
- Serves as a primary point of contact for internal and external stakeholders, responding to inquiries and coordinating follow-up activities.
- Manages end-to-end logistics for investor events, including registration, travel coordination, and event materials.
- Partners with internal and external stakeholders to ensure investor events are delivered accurately, on schedule, and aligned with established objectives.
- Coordinates the development and distribution of event communications and materials, including invitations, agendas, presentation support, speaker logistics, signage, and run-of-show documents.
Education/Years of Experience
- Required: High school diploma/GED and minimum five (5) years of progressive experience in general office, clerical, or administrative support.
- Preferred: Some college coursework or an associate’s degree.
Other Requirements
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office applications and general PC skills.
- Demonstrated organizational and interpersonal skills with a strong commitment to safety.
- Preferred: Experience using Oracle financial systems.
- Preferred: Basic knowledge of SharePoint.
