The Administrative Assistant, Services will provide administrative support to project management and field team (may be one or more people) for construction project, or another specified project or department.This role is located on jobsite and will require travel often. Position Responsibilities and Duties:
- Willing to travel to different jobs throughout the country
- Set up and maintain an organized office working space
- Responsible for basic housekeeping of office trailers
- Coordination and communication of and during deliveries
- Manage inventory of materials and tools
- Coordination of heavy equipment repairs and replacement with 3rd party rental companies
- Manage site access logs
- Track all sign-in sheets
- Manage safety paperwork, including administering site safety orientations, verifying completion of safety documentation and filing.
- Process incoming and outgoing mail including UPS and Federal Express, sort, prioritize, and distribute, handle items not requiring supervisor’s attention
- Manage office supplies, first aid kits, sanitary supplies (and porta john cleaning coordination), PPE including FR, Fire extinguishers, eye wash stations, etc.
- Communicate quick onsite updates to the project management; Including coordinating with the field to support answering project management questions to prepare for owner meetings
- Communicate material, equipment, or subcontractor/services orders from field to Project Management team and provide updates back to the field team.
Minimum Skills or Experience Requirements:
- High School Diploma or equivalent
- Two years of business or secretarial school, or the equivalent combination of training and experience
- Minimum two years secretarial or clerical experience in addition to above training
- Ability to keyboard 45 wpm accurately
- Proficient in knowledge and use of word-processing and spreadsheet software
- Working knowledge of general office procedures and office machines
- Proficient in English verbal communication skills, including professional telephone manner
- Proficient in written communications skills, including business writing skills
- Reliability, dependability and flexibility
