Position Overview
The Administrative Assistant/Office Manager is responsible for the day-to-day administration and operation of a hybrid office environment supporting approximately 40-50 employees. This position serves as the primary point of contact for office facilities, vendors, building management, and workplace services, ensuring a safe, efficient, and welcoming work environment. The Administrative Assistant assists on-site and remote C-suite with various tasks, oversees mail and package services, office supply management, facility maintenance requests, EV charging coordination, landlord communications, and office celebrations, catered luncheons, and workplace gatherings. The role is instrumental in creating positive employee experience for both onsite and hybrid team members.
This is an on-site 30 hours per week, hourly, non-exempt position located in Bellevue. The hours are 10am – 4:30pm, M-F.
Responsibilities
Office Operations & Workplace Management
- Manage daily office operations to ensure a productive and professional work environment.
- Provide administrative support for on-site and remote C-suite, with travel, presentations, calendaring, etc.
- Monitor office appearance and functionality, ensuring common areas, conference rooms, kitchens, and shared spaces remain organized and operational.
- Maintain office procedures, documentation, and workplace communications.
Mail, Shipping & Deliveries
- Serve as the primary contact for all incoming and outgoing mail, packages, courier services, and deliveries.
- Distribute mail and packages promptly to employees and departments.
- Coordinate shipping requests and maintain relationships with delivery service providers.
Facilities & Building Management
- Serve as the primary liaison with the landlord, property management team, and building operations personnel.
- Submit, track, and follow up on building maintenance requests and facility-related issues.
- Coordinate office repairs, preventative maintenance, and workplace improvement projects.
- Ensure compliance with building policies, safety requirements, and access procedures.
Vendor Management
- Coordinate and maintain relationships with office and facility vendors, including maintenance providers, security services, and equipment suppliers.
- Schedule vendor visits and monitor completion of contracted services.
- Assist with obtaining quotes, managing service agreements, and evaluating vendor performance.
Office Supplies & Inventory
- Manage ordering, stocking, and inventory control of office supplies, kitchen supplies, and workplace equipment.
- Monitor usage and proactively replenish supplies to maintain business continuity.
- Identify cost-effective purchasing opportunities while maintaining quality standards.
EV Charger Coordination
- Serve as the primary contact for electric vehicle (EV) charging station operations and related service providers.
- Coordinate maintenance requests, service issues, and communication with EV charging vendors and building management.
- Monitor charger availability and assist employees with access and usage concerns.
Employee Support
- Provide responsive support to employees regarding workplace services, office access, facilities concern, and office resources.
- Support company meetings, events, and onsite employee activities as needed.
Events, Employee Engagement & Hospitality
- Plan, coordinate, and execute office events, employee celebrations, team gatherings, holiday events, and recognition activities.
- Organize and manage onsite luncheons, catering orders, and refreshments for meetings and employee events.
- Coordinate logistics for company meetings, town halls, training sessions, and special events, including room setup, vendor coordination, and food service.
Minimum Qualifications
- 3+ years of office management, workplace operations, facilities coordination, or related administrative experience.
- Experience supporting a hybrid office environment.
- Experience coordinating with building management, landlords, and external vendors.
- Demonstrated ability to independently manage multiple priorities and projects.
- Strong organizational, communication, and problem-solving skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and Teams.
- Ability to lift and move packages and supply deliveries up to 25 pounds.
