At the University of Notre Dame, our work extends far beyond the classroom. The International and Graduate Programs (IGP) team supports students, faculty, and academic initiatives that foster global engagement, graduate education, and transformative learning experiences. We're looking for an organized, proactive, and service-oriented Administrative Assistant who enjoys making things run smoothly behind the scenes while contributing to a mission that makes a meaningful impact.
In this role, you'll be at the heart of the International and Graduate Programs office, providing essential administrative support to the Director of International and Graduate Programs, the Associate Dean, and the broader IGP team. What You'll Do
No two days are exactly alike! As the Administrative Assistant, you'll play a key role in helping the office operate efficiently and effectively by:
- Serving as a welcoming and professional point of contact for students, faculty, staff, and external partners.
- Coordinating calendars, meetings, events, and special projects.
- Managing communications, correspondence, and office operations.
- Assisting with program logistics and administrative processes that support international and graduate education initiatives.
- Preparing documents, reports, presentations, and other materials.
- Maintaining records and ensuring information is organized, accurate, and confidential.
- Anticipating needs, solving problems, and helping the team stay focused on strategic priorities.

QualificationsEducation
- Associate's degree, technical school training, or equivalent combination of education and experience.
Experience
- 3–5 years of administrative support experience, preferably in higher education or a professional office environment.
Required Qualifications:
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Forms, Calendar)
- Excellent organizational skills and strong attention to detail.
- Outstanding written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong multitasking and prioritization skills.
- Ability to work independently while also collaborating effectively with others.
- A proactive mindset and a willingness to anticipate needs and solve problems before they arise.
Preferred Qualifications:
- Proficiency with Canvas, Concur (travel/expense platforms), and Acrobat Creative Cloud.
