Job PurposeThe Administrative Assistant, Insurance Legal & Compliance provides administrative support to the VP, Chief Compliance Officer and JNLD General Counsel and the AVP, Insurance Legal & Product Development, including filing, invoice processing, travel arrangements, expense reporting, meeting and event planning, calendar maintenance, task and action-item tracking, and ordering office supplies in addition to other duties. The Administrative Assistant will also prepare reports, presentations, and other materials.
Essential Responsibilities
- Schedules and maintains calendar of appointments, events, and meetings and coordinates related arrangements, including preparing and distributing materials and arranging catering, set-up, and clean-up as necessary.
- Arranges business travel, including lodging, transportation, and itineraries.
- Assists with administrative support including creation and maintenance of reports, charts, spreadsheets, documents, and presentations.
- Establishes, maintains, and updates files and records.
- Sends department- and company-wide announcements/informational emails.
- Processes financial documents, including department invoices and executive expense reports.
- Screens, organizes, and prioritizes phone calls, visitors, and incoming mail.
- Coordinates office moves, and new hire workspaces and assists with associate onboarding.
- Administers special projects as required.
- May order supplies for the office.
- Monitors action items, deliverables, deadlines, and commitments to ensure timely completion of priorities.
- Assists with regulatory filings as needed, including revising and proofreading documents, correcting formatting issues, gathering and converting any necessary exhibits, and ensuring all accompanying documents are current and accurate.
- Assists leaders and team members in obtaining updated Powers of Attorney, e-signature authorizations, signatures, and any necessary notarizations for filings or other regulatory materials.
- Administers SharePoint access to restricted documentation.
- Identifies opportunities to improve administrative processes.

Knowledge, Skills and Abilities
- Solid written and verbal communication skills including the ability to edit and compose correspondence.
- Solid interpersonal skills and ability to communicate effectively with senior management and peers.
- Solid PC skills including MS Office software and other relevant software applications.
- Basic knowledge of financial services industry terminology.
- Strong organizational and task management skills with an ability to prioritize, coordinate multiple activities, and follow up on projects with minimal supervision.
- Ability to handle sensitive confidential information..
- Must be detail oriented and focused on accuracy.
- Working knowledge of corporate policies, including compliance, emergency, and purchasing policies.
- Ability to quickly learn and effectively use new systems, applications, artificial intelligence, and productivity tools.
- Proficient in SharePoint, Confluence, and Oracle.
- Ability to work overtime as needed and respond to requests outside of normal business hours.
Qualifications
- H.S. Diploma or equivalent (G.E.D.). required.
- Associate's Degree preferred.
- 3+ years related experience required.
- Experience supporting legal or compliance leaders preferred.
