Job Summary
The Administrative Assistant II will perform general administrative duties including greeting guests, executives and employees, data entry, answering the phone and directing calls. This role will order supplies, schedule meetings, maintain conference rooms, work through issue resolution and work independently on other assigned tasks.
As an Administrative Assistant II, you will:
- Conduct timecard entry corrections, data entry, open and close work orders in PeopleSoft and maintain timecards for record retention
- Complete general administrative duties including making copies, filing, faxing, scanning, maintaining visitor log, monitor and maintain training and conference rooms for daily readiness
- Utilize Microsoft Office to prepare, maintain documents and ensure supplies are ordered and maintained
- Run and review daily missing time verification reports and account for missing time
- Activate customer badges, take badge photos, request badges from Facilities, monitor badge expirations and control employee and visitor badges to ensure appropriate access
- Greet guests and employees, answer multi-line phone, route calls and provide assistance
- Assist administrative team with work overflow and act as back-up for vacation and absence coverage
- Perform other duties and responsibilities as assigned
To be an Administrative Assistant II, you will need:
- High school diploma or equivalent
- Minimum of 3 years of administrative experience
- Good written and verbal communication skills and very detail oriented
- Ability to answer multi-line phone, demonstrating professional phone etiquette and work independently and in a team environment
- Ability to provide support to various locations and have reliable attendance
- Ability to work overtime as needed including weekends
- Intermediate computer skills (MS Outlook, PowerPoint, Word and Excel)
A successful candidate may also have:
- Associate degree in Business or related
- experience working in a professional office setting
