Under limited supervision, the Administrative Assistant II provides experienced administrative support to multiple departments and leaders. This position independently manages office functions, maintains business records, coordinates meetings and communications, and serves as a resource for administrative processes across the organization.

Essential Job Functions:

·        Perform all duties of Administrative Assistant I.

·        Coordinate calendars, meetings, travel arrangements, and conference calls.

·        Prepare reports, presentations, spreadsheets, and business correspondence.

·        Maintain inventory, financial, contract, and departmental records.

·        Monitor and update organizational information and staff changes.

·        Process purchase requests, invoices, and administrative documentation as assigned.

·        Assist with onboarding activities and administrative support for HR functions.

·        Generate reports and maintain departmental metrics.

·        Research information and respond to routine internal and external inquiries.

·        Support special projects and cross-functional initiatives.

·        Train and assist Administrative Assistant I employees as needed.

·        Maintain confidentiality of sensitive company and personnel information.

Schedule:

The standard schedule is Monday through Friday, 8-10 hour shifts, with the flexibility to work evenings and weekends as needed based on workload demands.

Required Qualifications:

       High school diploma or equivalent; associate degree preferred.

       3-5 years of administrative support experience.

       Intermediate proficiency with Microsoft Office Suite, including Excel and PowerPoint.

       Strong organizational and time management skills.

       Ability to prioritize multiple projects and deadlines independently.

       Strong problem-solving and customer service skills.

       Must be a U.S citizen.

·        Prolonged periods sitting at a desk and working on a computer.

·        Must be able to lift up to 15 pounds at times.


Working Conditions

·        Onsite position with office environment and occasional exposure to manufacturing areas.

·        Flexibility to adapt to peak workloads and tight deadlines while maintaining accuracy and efficiency.
