Position Information
BASIC FUNCTION:

The purpose of this position is to perform a variety of advanced office/administrative support duties which require a thorough knowledge of a function or functions within a department or work unit. This position may be responsible for monitoring budgets and business affairs, scheduling, managing student information, and assists faculty in administrative tasks as needed. Incumbents typically work at a high degree of independence with general direction and supervision received from a department chair.

SUPERVISORY ACCOUNTABILITY

Has responsibility or authority which is limited to the direction of student or temporary workers. Verify timecard entry for student worker(s).

NATURE AND SCOPE:

Directs the workflow of the department. Develops and implements office procedures and practices. May assign and monitor student workers, as directed. Assists the department chair in administrative duties of the department.

PRINCIPAL ACCOUNTABILITIES:

· Control workflow of the office.

· Perform directives from department chair.

· Prepare requests for spend authorizations, service requests, etc.

· Answer inquiries on general and technical matters in accordance with established guidelines and forwards other items to supervisor or appropriate staff.

· Assist faculty with travel process and procedures.

· Supervise the scheduling of meetings collection of meeting minutes and organizing files for minutes and agendas.

· Obtain bids and price quotes from vendors to order office supplies and equipment.

· Monitor inventory of supplies.

· Create and manage office filing systems. Responsible for filing correspondence and other items accordingly.

· Receive, open and screen mail for the department.

· Assist students with registration as needed.

· Assists the department chair with budgeting, scheduling, program planning.

· Assists the department with ordering food, scheduling rooms, and planning department related events.

· Foster an inclusive and productive team culture.

· Supervises student workers.

· Perform other duties as assigned.

CORE COMPETENCIES:

· Advanced knowledge of office and administrative practices and principles.

· Skilled in operation of computers, related software applications (MS Office Suite, Adobe, and similar programs). Knowledge of standard office equipment.

· Knowledge and skill in accounting and budgeting techniques and principles.

· Ability to communicate effectively orally and in writing with a diverse population. Must be detail oriented and organized.

· Ability to exercise discretion and ensure a high-level of confidentiality.

· Ability to establish and maintain effective and harmonious work relations and work collaboratively across functions, levels, and departments toward shared objectives.

· Experience navigating policy requirements at an academic institution.

· Ability to provide and receive direct and constructive feedback.

· Passion for and familiarity with HBCU student populations and culture.

MINIMUM REQUIREMENTS:

High School diploma or GED and 2-4 years of general work experience. AA/AS may be substituted for 4 years of required work experience. BA/BS may be substituted for up to 4 years’ work experience.

Compliance Salary Range Disclosure

$35,000-$42,000

Skills Required
