The Role

Compiles and records maintenance data through the maintenance CMMS system in conjunction with other related systems by performing the following duties.

What you will be responsible for:

  • Compiles and records maintenance data from such documents daily labor reports, work order requests, preventive maintenance work orders, and other duties as assigned.
  • Successfully manages the CMMS system such as “Creating assets, managing workflow, dispatching, and preventive maintenance management.        Collaboration with OEM’s and maintenance technicians to develop value added PM’s and enter them into the system for auto-generation.  Familiar with Calendar based PM’s, meter reading, and vibration analysis.
  • Maintains files of documents used and prepared.
  • Prepares and distributes work orders based on priorities set within the guidelines of the maintenance department.  
  • Responsible for the inventory of critical spare parts within the maintenance department and inventory accuracy as defined by departmental metrics.
  • Organizes and maintains file system and files correspondence and other records.
  • Answers and screens manager's telephone calls and arranges conference calls if needed.
  • Coordinates manager's schedule and makes appointments when necessary.
  • Conducts research, and compiles and types statistical reports.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities for meetings as needed.
  • Makes copies of correspondence or other printed materials.
  • Orders and maintains supplies and arranges for equipment maintenance.
  • Document all rework and relays information to proper department.
  • Verify actual hours vs. estimated from M2M system.
  • Regular attendance, ability to arrive at work punctually, ability to work on–site, ability to work overtime.
  • Ability to work cooperatively with others, ability to deal respectfully with the public, customers, vendors, other employees, managers, and executive management.
  • Ability to perform multiple tasks concurrently, ability to work in a fast-paced environment, ability to interchange with others in the department.
  • And all other duties as assigned.

COMPETENCY OR POSITION REQUIREMENTS (knowledge, skills, and abilities)

  • Personal computer skills including experience navigating effectively through a CMMS system, electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
  • Ability to read, analyze, and interpret general business periodicals. Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from managers and supervisors.
  • Ability to add, subtract, multiply and divide whole numbers and fractions.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

EDUCATION AND EXPERIENCE (required levels)

  • High School Diploma or equivalent preferred. 
  • One year certificate from college or technical school or six months related experience and/or training.
