Job DescriptionPrepare and submit basic expense reports on behalf of stakeholders using internal tools. Ensure proper documentation is attached, including scanned receipts and cost coding. Follow up on pending reimbursements and support communication with Accounts Payable (A/P) for status updates.
Create, organize, and maintain digital folders in SharePoint and Microsoft Teams. Save documents using standardized naming conventions. Assist in retrieving requested files for internal use and ensure version control is followed. Support routine audits to check for outdated or missing documents.
Enter information into internal trackers, spreadsheets, and platforms with a focus on accuracy and timeliness. Help maintain up-to-date databases used by stakeholders and ensure no duplication or data gaps occur. Escalate inconsistencies or errors to senior admins or team leaders.
Submit IT Helpdesk requests and ServiceNow tickets (e.g., hardware issues, password resets, access issues). Track ticket numbers and assist in following up with the IT support team if tickets remain unresolved. Provide updates to stakeholders on ticket status as needed.
Assist in formatting documents such as Excel trackers, PowerPoint decks, and Word files. Support the creation of simple reports or templates by populating data provided by stakeholders. Ensure proper alignment, consistency, and file readiness for review or submission.
Support day-to-day office tasks such as checking task trackers, entering information into forms, preparing templates, and logging training completion on platforms like AECOM University. Provide support during internal audits by helping locate documents or system entries.
Assist in monitoring basic vendor-related transactions such as status of PO requests, COI follow-up, or wire transfer confirmations. Raise Employee Center cases for vendor-related queries or payment issues as instructed.
Use templates to assist in preparing invitations, announcement banners, or visual updates for internal team events. Support administrative aspects of virtual meetings, including note preparation, screen-sharing, and minor coordination tasks.
Assist in general administrative tasks as needed.
Must be willing to work in a fixed night shift schedule and hybrid set-up; 3 days onsite per week.
Must have strong knowledge in using MS Excel, PPT and Word.
