Your OpportunityWe’re looking for a highly organized Administrative Assistant/HR Coordinator to join our team. In this dynamic role you’ll take ownership of front office operations while supporting key HR and administrative functions.
This position is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in delivering a high level of support.
- Responsibilities may include scheduling the occasional group team meetings, assisting with report preparation and/or presentations and other related duties.
- Liaison to IT function for site-based IT needs (versus individual needs), ensuring IT, AV and Telecom services available; troubleshooting, equipment ordering for new hires, etc.; learns and trains associates on how to use the technology on desk and in conference rooms
- Responsible for answering main phone line and redirecting calls as appropriate. Handles distribution of incoming mail and deliveries to site mailroom. Independently manage all front desk duties including, but not limited to greeting and assisting visitors, vendors, and staff; assign building access to contractors, visitors as needed
- Maintain the reception area, conference rooms, kitchens, and other office common areas, including the coordination of the installation, repair, and/or maintenance of office equipment, appliances, and other office facilities.
- Responsible for monitoring and maintaining supply inventories for the office, mail room, and pantry/kitchen including ordering, receiving, and organization. Coordinating all USPS/Courier mail, incoming and outgoing.
- Assist with meeting planning to include meeting room scheduling, A/V needs, and catering. May also coordinate ground transportation and other visitor arrangements as needed.
- Perform general secretarial, clerical, and administrative support, with tasks such as copying, printing (in-house/outsourcing), binding, filing, office equipment maintenance, office access management, visitor workspace arrangements, office directory
- Answer questions related to standard policies, hiring process, benefits, etc., and refer more complex questions to appropriate HR staff or management.
- Assist the recruitment process by opening requisitions, posting positions, scheduling interviews and organizing hiring events, and overseeing all pre-employment processes.
- Assist with recognition/awards/events.
- Assist with benefit administration, tracking and open enrollment.
- Establish credibility throughout the organization in order to be a trusted HR representative.
- Provide administrative support to VP, Sourcing and Supply Chain
- 3 years minimum experience as administrative assistant and/or office assistant
- High School Diploma required, professional administrative certification highly desirable
- Experience with Microsoft Office Suite, including Outlook/Scheduling; Power Point and Excel; online travel and expense reporting tools
- IT savvy and interest
- Ability to work independently, collaboratively, and multi-tasks well; has a positive, professional demeanor; willingness to learn

Pay Range:
$53,990.00-$62,218.00Skills Required
- Minimum 3 years experience as an administrative assistant and/or office assistant
- High School Diploma
- Professional administrative certification
- Experience with Microsoft Office Suite (Outlook/scheduling, PowerPoint, Excel)
- Experience with online travel and expense reporting tools
