This position provides administrative support to the VP of Finance Operations and the teams within Finance Operations. The position is responsible for a wide variety of complex assignments of a critical and confidential nature. The ideal candidate will exhibit high standards, excellent communication skills, and have the ability to take initiative and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Duties and Responsibilities:
Performs clerical duties related to department activities including but not limited to:

  • Serves as gate keeper to executive's calendar ensuring he/she is well prepared and organized for upcoming meetings and/or events and ensuring any conflicts are managed appropriately
  • Assists in managing executive's email to ensure critical and high priority emails are brought to executive's attention and addressed in a timely manner
  • Performs a wide variety of complex, responsible, and confidential administrative duties for leadership
  • Ordering and distributing supplies, composing of routine correspondence
  • Organizing and maintaining file system and files correspondence and other records as well as creating and maintaining database and spreadsheet files
  • Coordinating and arranging meetings and/or conference calls, preparation of agendas, reserving and preparing conference rooms, and recording and transcribing minutes of meetings, as requested
  • Meeting and event planning (may include negotiation hotel contracts, scheduling catering, preparing for Web and video conferencing, etc.)
  • Manages travel (includes online research, booking, tracking, preparing the traveler, etc.); may also include submission of expense reimbursements on behalf of traveler
  • Researching, compiling, and analyzing data for special projects and various reports
  • Managing functional budget, preparing invoices and reports to support Finance Operations
  • Participating in trainings, career development, and webinars related to position and/or Finance Operations and supports the on-boarding of new associates
  • Serves as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations
  • Assists other administrative assistants and other departments with administrative support as needed
  • May provide support for special projects and programs, as requested (project management)

Qualifications:

  • HS diploma required
  • 1 year+ directly relevant experience
  • Project management knowledge
  • Technologically savvy (Google, Advanced MS Office, Teams, Visio, etc.)
  • Excellent & effective communication
  • Strong critical thinking and problem solving
  • Highly organized and detail oriented
  • Tact and discretionary initiative
  • Highly flexible with strong multitasking and prioritization ability
  • Able and willing to learn new software tools and applications
  • Empathetic
  • Collaborative and works well with others


Our flexible/ hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days.
Applicants must be currently authorized to work in the United States on a Full-Time basis.
