Job Summary:

We are seeking a detail-oriented and highly organized Administration – Resource Development & General Compliance Officer to support administrative operations, training resource development, and compliance activities. The role involves maintaining and improving training and assessment resources, supporting student and trainer administration, managing document and version control, maintaining compliance registers, and assisting with data entry and reporting across systems such as Moodle. The ideal candidate will have strong writing, organizational, and quality assurance skills, with RTO or vocational education experience highly regarded.

Responsibilities:

The successful applicant will complete the following duties under the direction of the Chief Executive Officer:

  • Perform general administrative duties as reasonably directed by management;
  • Monitor and manage shared email inboxes and respond to routine administrative enquiries;
  • Assist with student administration activities, including enrolment record maintenance and document verification;
  • Develop and edit training and assessment resources, modify workbooks, trainer materials, assessment tools and mapping to ensure each delivered short course meets the training package intended outcomes;
  • Convert existing learning resources onto Moodle student management system platform; 
  • Liaise with trainers to schedule resource content review and incorporate feedback back into resource improvements;
  • Assist in the maintenance of version control registry of all RTO documents;
  • Maintain and oversee trainer files, professional development logs etc.;
  • Maintain registers including complaints, appeals, continuous improvement actions, validation activities, and assessment tool reviews.
  • Assist with data entry and quality checking within student management systems, Moodle, and other organisational platforms.
  • Assist with AQF Surveys and NCVER reporting (AVETMISS). 

Requirements:

  • Very good writing skills;
  • The ability to utilize Ai platforms to provide optimum resource quality publications and minimize spelling and grammatical errors;
  • Good report writing skills;
  • Project management skills;
  • RTO background and experience, specifically an understanding of the ASQA framework mandating RTO operations;
  • Understanding of, or willingness to learn, the requirements of Standards for RTO as they relate to administrative and training functions of an RTO;
  • An understanding of, or willingness to learn, training package structures and able to interpret and implement a minimum standard across the RTO;
  • Completion of  under graduate level qualification, preferably in compliance, quality auditing, vocational education or IT systems.

  • Good communication skills via MS Team, ZOOM, or Google Meets;
  • Good email skills;
  • Ability to liaise with staff, trainers and management clearly via the communication platforms;
  • Able to work individually and problem solve within a team;
  • A willingness to develop leadership skills and help grow with the organisation;
  • Attention to detail and ensure you can pay attention to small defect details;
  • Enthusiasm and personal drive to want to help grow the organisation;
  • Good organisational skills including proper management of time and resources;
  • Ability to handle pressure and meet deadlines;
  • Willing to learn and take directions from people with whom you report to.
