Purpose of the Role

BGIS is seeking a motivated Administration Officer to join our Payroll Department at our Sydney World Square office.

Reporting to the Group Payroll Manager, you'll play an important role in supporting the smooth day-to-day administration behind our payroll function. You'll help coordinate documentation, maintain accurate records, respond to employee enquiries and ensure key information is prepared on time to support critical payroll deadlines.

This role is perfect for someone who is organised, enjoys working independently, has a strong eye for detail, and is eager to learn. Previous payroll or finance experience isn't essential – we're looking for someone with the right attitude, excellent time management skills and a genuine desire to build their career.

Key Responsibilities

  • Provide day-to-day administrative support to the Payroll team.
  • Coordinate new starter documentation, onboarding paperwork and system access.
  • Manage shared inboxes, respond to employee enquiries and assist with payroll-related administration.
  • Maintain accurate records, data entry and HRMS information.
  • Process purchase orders, invoices and other administrative transactions.
  • Assist with preparing reports and collating information required for payroll processing.
  • Maintain electronic and paper filing systems to ensure information is accurate and accessible.
  • Build positive working relationships with internal stakeholders while delivering responsive customer service.

Education, Experience & Skills

Essential

  • High school certificate or equivalent.
  • Strong administration and organisational skills.
  • Excellent time management with the ability to prioritise work and meet deadlines.
  • High attention to detail and accuracy.
  • Confident using Microsoft Outlook, Word and Excel.
  • Excellent written and verbal communication skills.
  • Ability to work autonomously while contributing positively to a close-knit team.
  • A positive attitude, willingness to learn and strong work ethic.

Desirable

  • Previous administration experience in an office environment.
  • Exposure to payroll, finance or HR administration.
  • Experience working with HR or payroll systems.

This permanent full-time role is based at our modern Sydney World Square office, conveniently located close to public transport.

BGIS offers a hybrid working arrangement of 3 days in the office and 2 days working from home, providing flexibility while supporting collaboration and learning within the team.
