Glengarry Private Hospital, located in Duncraig, 15km north of Perth’s CBD, has been a leading provider of specialist healthcare to the communities in Perth’s northern suburbs since 1977.

We offer a range of services including endoscopy, palliative care, rehabilitation, care awaiting placement and medical services. These are supported by ancillary services such as physiotherapy, social work, occupational therapy, speech therapy and dietetics.

Job Description

We are seeking an experienced and motivated Administration Manager to lead and coordinate all administrative functions of our hospital. Reporting directly to the Director of Finance and Support Services, this leadership role is responsible for ensuring the efficient operation of patient administration, admissions, reception, billing support, workforce management, and associated administrative services.

As a key member of the hospital management team, you will work collaboratively across departments to deliver exceptional patient experiences, drive operational excellence, support continuous improvement initiatives, and ensure compliance with organisational and legislative requirements.

Key Responsibilities

  • Lead, manage, and supervise the administrative team, including rostering, recruitment, onboarding, training, mentoring, performance management, and staff development.
  • Oversee the day-to-day operations of reception, admissions, outpatient services, and patient accounts.
  • Attend and contribute to daily, weekly, and monthly operational and management meetings.
  • Ensure compliance with hospital policies and procedures, accreditation standards, and health fund requirements.
  • Develop, implement, and continuously improve administrative processes and systems to enhance efficiency and service delivery.
  • Monitor departmental performance and prepare timely reports, KPI data, and operational updates for the Director of Finance & Support Services.
  • Ensure the hospital delivers exceptional customer service and a positive experience for patients, families, medical practitioners, and other stakeholders.
  • Effectively manage staffing resources and daily rosters to support operational requirements.
  • Identify training needs and provide ongoing coaching, mentoring, and support to team members.
  • Drive change initiatives and support continuous improvement across administrative services.

About You

You are an experienced administration leader with a passion for delivering exceptional patient care and leading high-performing teams. You have strong organisational, communication and leadership skills, thrive in a fast-paced healthcare environment, and are proactive, adaptable and committed to continuous improvement.

    • Demonstrated experience leading administration teams, preferably within a healthcare environment.
    • Strong leadership, organisational, communication and time management skills.
    • Ability to manage competing priorities and build collaborative relationships across multidisciplinary teams.
    • Commitment to delivering exceptional patient-centred care and customer service.
    • Experience with private health funds, patient administration systems and Microsoft Office.
    • A proactive approach to problem-solving and continuous improvement.
    • Tertiary qualifications in Health Management, Business or a related discipline, or equivalent experience (desirable).
    • Previous experience in a private or public hospital setting and leading service improvement initiatives (desirable).
