Job Description:

The Administrative Assistant provides efficient and reliable administrative support to teams, ensuring smooth daily operations and supporting organizational effectiveness. The role contributes to maintaining structured processes, accurate documentation, and effective coordination within a dynamic work environment.

YOUR NEXT CHALLENGE
Responsibilities:
1. Administrative Support
Provide day-to-day administrative support to teams and managers
Manage calendars, schedule meetings, and coordinate basic logistics
Prepare and format documents, reports, and presentations
2. Office & Documentation Management
Maintain and organize files, records, and documentation
Ensure accuracy and accessibility of administrative information
Support document processing and archiving
3. Coordination & Communication
Support internal coordination between teams and functions
Assist in organizing meetings, workshops, and small events
Facilitate communication by sharing information and updates
4. Travel & Expense Support
Assist in organizing travel arrangements (transport, accommodation)
Support expense submission and administrative follow-up
5. Operational Support
Support basic reporting and data entry activities
Assist in administrative processes and compliance with internal procedures
Contribute to improving efficiency in administrative workflows
YOU ARE A MATCH IF...
Education:
Bachelor’s degree or equivalent experience in Business Administration or a related field.
Work Experience:
First experience in administrative support or similar role
Experience in a corporate or structured environment is an advantage
Skills & Certifications:
Proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Word, Teams)
Strong organizational and time management skills
Attention to detail and accuracy
Good communication skills
Ability to manage multiple tasks and priorities
Languages:
For global, regional, or area roles, fluency in English is required. Additional languages such as French, Spanish, Portuguese, or other relevant languages are an advantage.
For local country leadership and management roles, fluency in the local language and English is required.
For local individual contributor roles, fluency in the local language is required. English is considered an advantage as it supports communication, learning, and collaboration in a multinational context.
Working Conditions:

Hybrid working patterns depending on the host country policies. Collaboration across different countries, functions, and time zones. Travel may be required depending on business needs.
