We’re looking for a capable and organised Administration Coordinator to join our Corporate Services team, supporting the Office of the CEO.
This is a unique opportunity to build your career in a highly professional corporate environment, working closely with senior leaders and contributing to the smooth running of key governance and administrative processes.
This role is being offered on a part time basis, working around school hours and is open to 4 or 5 days a week.
About the role:
This role sits at the intersection of administration and governance. You’ll provide essential support across Corporate Services, helping to keep things running smoothly, accurately and on time.
Working closely with the CEO’s Executive Assistant and broader corporate support network, you’ll play an important role in coordinating meetings, maintaining records, supporting reporting, and ensuring key processes are delivered with care and precision.
This is a great opportunity for someone with administration experience, or strong transferable skills, who is looking to step into a more corporate environment and develop their capability in governance and executive support.
What you’ll be doing:
You’ll support a range of administrative and coordination activities, including but not limited to:
- Supporting governance meetings through scheduling, logistics and preparation of meeting materials
- Maintaining calendars, tracking deadlines and ensuring documentation is accurate and accessible
- Assisting with records management, including storing and updating official documents
- Coordinating contract documentation and updates
- Maintaining databases, registers and document repositories
- Supporting accurate and consistent recordkeeping
- Raising purchase orders and processing payments
- Coordinating expense claims and credit card reconciliations
- Supporting audit and compliance activities as required
- Managing onboarding and offboarding activities for employees and contractors
- Maintaining tracking tools and supporting reporting processes
What you’ll bring:
We’re open to candidates from a range of backgrounds. You might already have administration experience, or bring transferable skills from another environment.
Most importantly, you are:
- Organised, reliable and enjoy working in a structured environment
- Comfortable managing multiple priorities and meeting deadlines
- Discreet and professional, with good judgement and a high level of confidentiality
- Confident communicating with a range of stakeholders, including senior leaders
- Detail-oriented, with a strong focus on accuracy and quality
- Competent working within the Microsoft Office 365 suite of products (Outlook, Teams, Word, PowerPoint).
- Experience in a corporate, governance or executive support environment is helpful, but not essential.
