About this role

We’re looking for a proactive and enthusiastic Administration Assistant to play a key role in keeping our Cairns office running smoothly.

With strong organisational skills and a motivated, ‘can-do’ attitude, you’ll help to create an exceptional workplace experience for colleagues, clients and visitors alike.

This is a maximum-term parental leave cover contract opportunity for 12 months, working 22.5 hours per week.

Key responsibilities

In this diverse and fast-paced role, your key responsibilities will include (but are not limited to):

  • Provide a welcoming experience, greeting and serving refreshments for clients and visitors

  • Maintain office facilities, kitchens and common areas, ensuring they remain clean and tidy

  • Manage room set-up and pack-down before and after meetings and events, ensuring meeting rooms are ready for use

  • Manage daily meeting room and other bookings through Microsoft Outlook

  • Coordinate catering for firm events, including ordering, logistics, set-up and service

  • Manage office supplies and stock levels, including ordering, receiving and replenishing consumables as required

  • Assist with incoming / outgoing mail and courier bookings as required

  • Assist with office maintenance requests and maintenance schedules

  • Provide reception / telephone cover as required, including during periods of leave or absence

  • Other ad hoc duties such as data entry, filing, and other administrative tasks as required

Please note some flexibility to support varying operational requirements will be required, including occasional early morning, evening, and / or event-related activities (with prior notice.)

Skills and experience

  • Previous experience in hospitality, food and beverage, office services and / or administration

  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across different stakeholders, levels and teams

  • Adaptable and flexible with strong organisational and problem-solving skills, including experience coordinating multiple priorities in a fast-paced environment

  • Proficient in the use of Microsoft Office applications, including Outlook and Teams, with the ability to work across multiple administration and customer relationship management (CRM) systems
