Key purpose of the role:

This role will provide exceptional administrative support to general managers and the executive assistant the team responsible for supervision of ASX’s listed market. Well suited to a motivated and enthusiastic candidate that shows initiative and is keen to learn.

Your Team

Work within the team responsible for supervision of ASX’s listed market. Our team's performance is critical to ASX's success in operating a market of the highest integrity and meeting the expectations of our customers and the wider Australian community. You will work closely with all teams in the ASX Supervision division, including members of our participants supervision, listings supervision, admissions and investment products teams. Your day-to-day role will be as part of a broader administration team supporting our team across three state offices.

Your responsibilities

  • Provide calendar support to the Group Executive with assistance from the Executive Assistant, and one General Manager
  • Manage all aspects of meeting coordination for various client events including listing ceremonies and regular meetings in the division, including managing all logistics, agenda setting, inviting guest presenters and tracking actions.
  • Timely and accurate processing of various updates to data points in Salesforce and other systems
  • Processing and overseeing publication of decisions on the ASX website
  • Accurate processing and raising client invoice requests and troubleshooting account queries received by the team
  • Preparation and review of presentations, policies and procedures prepared by the team. Including formatting documents in line with the ASX style guide
  • Coordinating the set up and welcome for new starters to the division

Your experience and qualifications

Must have

  • Strong diary management skills including proven experience anticipating, identifying and addressing travel/admin/diary issues
  • Had experience in a similar role supporting senior executives in an autonomous role
  • Advanced experience in both Word and PowerPoint, and basic skills in Excel
  • Analysis/problem solving/innovation

Nice to have

  • Experience using iManage and Salesforce
  • Previous experience in administrative project work
  • Ability to time manage and prioritise work and meet delivery deadlines
