Job Description

Location: Ajuy, Iloilo, Philippines

Employment Type: 10-months fixed-term contract (Extendable)

 

Summary

The role is pivotal in ensuring smooth daily operations by handling various administrative tasks, coordinating communication, managing documentation, and supporting the project management team.

Key Accountabilities:

  • Assist the Project Manager and site team with daily administrative tasks.
  • Manage and maintain site office supplies, ensuring that all necessary materials are available.
  • Coordinate and schedule meetings, appointments, and site visits.
  • Maintain and organize project documentation, including contracts, permits, plans, and reports in coordination with the project development team for any project related permits, etc.
  • Coordinate with external local stakeholders to facilitate smooth communication and project flow.
  • Assist in coordinating the delivery and distribution of materials and equipment to the construction site.
  • Manage incoming and outgoing mail and deliveries.
  • Handle expense reports, invoices, and petty cash usage and monitoring.
  • Provide general administrative support to the construction site as required.

Qualifications

  • Academic degree in Business or Office Administration or any related course.
  • Minimum 2 years of experience in admin related tasks, preferably in a construction or industrial setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Good written and verbal communication abilities.
  • Meticulous to detail.
  • Ability to work independently and as part of a team.
  • Familiarity with construction or engineering terminology is an asset.
  • English and Ilonggo (local dialect)
