Role Overview:
The Accounts Payable (AP) Specialist is responsible for managing and recording all company cash outflows, including accounts payable, corporate credit card reconciliations, and financial transaction entry into QuickBooks and VOZ (proprietary ERP). Working within an Experiential Marketing Agency environment, this role ensures accurate cost tracking from project sale to final invoice issuance while maintaining strong vendor relationships. The ideal candidate will support internal leadership and collaborate across teams to ensure precise financial data and efficient administrative operations.
What You’ll Be Doing:
Cost Management
Support and advise the Company's Administration Leader on all matters related to cash outflows.
Review client contracts and verify transaction information related to job costs.
Receive vendor invoices and accurately post them in the accounting system.
Maintain client job files from project sale to final invoice issuance.
Confirm all show and site change orders are included in final vendor invoices.
Reconcile monthly credit card bills and apply costs accurately to projects.
Review open Purchase Orders before preparing final invoices.
Encourage the use of Purchase Orders on all job-related expenditures.
Assist with month-end AP reconciliations if required.
Compile Colorado Sales Tax reports and prepare payments.
Issue annual 1099 forms to vendors and government entities.
Vendor Management
Establish and increase vendor credit limits.
Resolve discrepancies between purchase orders and vendor invoices.
Issue deposit checks for materials or services when required.
Staff Interactions
Meet weekly with the Administration Leader to identify invoices for payment.
Perform weekly check runs.
Coordinate with Accounts Receivable on open Purchase Orders.
Communicate vendor-related issues to project, shop, and warehouse teams.
Assist with vendor disputes when necessary.
Miscellaneous
Assist the Accounts Receivable Lead when AP duties are current.
What You’ll Need:
3+ years of relevant experience.
QuickBooks experience preferred (or other accounting software).
Associate or Bachelor's degree in Finance, Accounting, Business Administration, or equivalent experience preferred.
English level B2+ to C1.
Reporting experience.
Advanced Excel skills.
Strong organizational skills and attention to detail.
Excellent communication and vendor relationship management skills.
Bookkeeping knowledge and experience.
Candidates should be comfortable using AI-powered tools and modern productivity technologies to improve efficiency, communication, problem-solving, and work quality.
