POSITION SUMMARY:

Accounts Payable Specialist will ensure that all phases of the assigned accounts payable processes are completed accurately and within the time constraints of the monthly accounting closing schedule. This position involves all functions in the Business Office, with the main emphasis on Accounts Payable. This work is done in accordance with oral and written directions/instructions from the Senior Director of Finance. The ideal candidate is organized, analytical, and comfortable working in a fast‑paced environment. This role is based in the office with no opportunity for remote or work from home.

PRIMARY RESPONSIBILITIES:

1. Enter data on all invoices and assign proper General Ledger codes.

2. Enter daily cash transactions into the accounting system and generate report to billing department.

3. Ability to partner across the organization with multiple departments through the exchange of data, information, and frequent communication.

4. Pay bills in a timely manner.

5. Produce check listings and breakouts for Director of Finance.

6. Maintaining open and paid invoice files and checks.

7. Reconciling vendor accounts and period end reports.

7. Print checks, assemble with bill back-up and cover sheets, and prepare for signers.

8. Maintain accurate file system for all paid invoices and checks.

9. Track lease payments and invoices to avoid duplication of payment.

10. Assist with Payroll and travel reimbursement as needed.

11. Daily cash bank deposits

12. Handling Petty Cash.

13. Generates various accounts payable reports.

14. Prepare cash daily summary report.

15. Perform other job-related duties as required and assigned.

Qualifications

EDUCATION EXPERIENCE/REQUIREMENTS:

  1. Graduation from an accredited two-year college and two years fiscal experience; or graduation from an accredited high school and an equivalent combination of formal education and 3 years previous experience.
