The Accounts Payable Specialist is responsible for the administration of the accounts payable function and serves as a trusted accounting resource within the Business Office. Beyond ensuring the accurate processing of invoices and vendor payments, this role contributes to the organization's financial accuracy through account reconciliations, expense analysis, maintenance of accounting records, and support of month-end and year-end close activities.

The ideal candidate has experience in both accounts payable and small business bookkeeping environments and understands the relationship between daily transactions and the overall financial health of an organization. This position offers an opportunity to contribute beyond traditional AP responsibilities by supporting general ledger accounting, preparing journal entries, improving processes, and assisting with financial reporting initiatives as needed.
 

Duty

Percent of Time

Review, verify, and process vendor invoices for accuracy, proper coding, supporting documentation, and appropriate authorization in accordance with internal control policies.  In addition, manage the processing of third-party invoice processes like US foods, utilities, etc.

Manage full-cycle accounts payable process including invoice entry, matching (PO/receipt), payment processing (check, ACH, credit card), and vendor file maintenance

Respond to vendor inquiries; resolve discrepancies in a professional and timely manner

Prepare weekly/monthly accounts payable registers, aging reports, and other financial reports as requested

Support month-end close activities including accruals, prepaid expense tracking, reconciliations, and journal entry preparation

Ensure compliance with 1099 reporting requirements and maintain accurate vendor tax documentation (W-9s)

Support internal and external audit requests related to accounts payable

Qualifications

Education:

High School Diploma or equivalent.

Experience:

5+ years of experience in accounts payable.

License/Certification/Credential:

None

Technical Skills:

Experience with ERP/accounting systems

Proficient in Excel 

Experience with electronic invoice processing systems preferred.

Skills Required

  • High School Diploma or equivalent
  • 5+ years of experience in accounts payable
  • Experience with ERP/accounting systems
  • Proficient in Microsoft Excel
  • Experience with electronic invoice processing systems
  • Experience with small business bookkeeping
