What you’ll do

In this role on AlixPartners’ Corporate Services team, you will be responsible for performing a variety of accounting tasks related to the day-to-day operations of the firm and its European offices. This position is responsible for accurately and efficiently processing and managing the company's accounts payable transactions, ensuring that all vendor invoices and related value added tax (“VAT”) are properly recorded in the financial system, approved, and paid in a timely manner. This position will have responsibility to complete submission of client invoices and retrieval of vendor invoices from applicable country regulatory submission platforms (i.e. regulatory electronic invoicing). The Accounts Payable Senior Analyst plays a crucial role in maintaining positive relationships with vendors, customers, and internal stakeholders and ensuring compliance with the firm’s policies and procedures. The ideal candidate will have demonstrated ability to function in a face-paced environment while maintaining accuracy and meeting deadlines.

The Accounts Payable Senior Analyst role is a fulltime role located in Milan, Italy. Paid relocation is not available.

  • Invoice Processing: Receive, review, and verify vendor invoices for accuracy, completeness, and compliance with company policies, including complex regulatory and tax directives (i.e.VAT). Review invoice details in the Concur invoice and expense system; including relevant cost assignment, account allocations, and appropriate tax information.
  • Invoice Approval: Collaborate with internal departments to obtain necessary approvals for invoices, ensuring adherence to the company’s delegation of authority approval policy.
  • Vendor Communication: Respond to vendor inquiries and resolve discrepancies or issues related to invoices, payments, and account statements in a professional and timely manner. Research vendor invoice and payment history to address inquiries accurately and promptly.
  • Record Keeping: Maintain organized and accurate accounts payable and applicable client invoice regulatory submission files, in electronic formats, for audit and reference purposes.
  • Stakeholder Management: Build relationships with key stakeholders, ensuring best in class customer service, proactive identification and resolution of issues, while continually improving end to end processes.

What you’ll need

  • Minimum two years related experience in accounts payable or related finance role highly preferred.
  • Bachelor’s or Associate’s degree in a business field preferred.
  • Excellent written and verbal communication skills in English and Italian with an ability to communicate with colleagues around the world. Fluency in additional languages is a plus.
  • Knowledge and previous experience working with VAT requirements in Italy required. Experience working with VAT requirements in other tax jurisdictions outside of Italy is a plus.
  • Excellent attention to detail with the ability to deliver a high quality and accurate work product.
  • Excellent organization and time management skills with the ability to prioritize tasks and adapt to changing circumstances.
  • Consistent execution of high quality and detailed deliverables and processes, anticipating the needs of a variety of stakeholders to ensure mutual positive resolution of tasks and/or issues.
  • Possesses a continuous improvement mindset, taking the initiative to understand end-to-end processes and impacts when recommending and implementing improvements, leveraging tools and resources available.
  • Dependable and able to work well individually and within a team.
  • Ability to maintain confidential information.
  • Willingness to work outside of normal business hours, and as unique projects/needs arise.
  • Ability to work full time in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday

The salary range for this role takes into account a number of factors and is between EUR 35,000/year – EUR 60,000/year gross. Bonus opportunity linked to key performance indicators ranging from EUR 500/year – EUR 1,500/year gross.  In addition, you may be eligible for a discretionary bonus. Employment terms and benefits are governed in accordance with the applicable National Collective Bargaining Agreement (CCNL).
